The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Director of the Language Resource Center, the incumbent provides general clerical, secretarial, and financial support to the Associate Director and to the center at large.

Responsibilities

Assists the Associate Director with day-to-day departmental financial activities including contacting vendors, and preparing requisitions and payments for approval using the Accounting and Reporting at Columbia online system, ARC. Tracks payments, and reconciles statements monthly; coordinates requests to Facilities Management for maintenance of all department space; maintains calendar for department spaces; monitors and reconciles P-Card transactions in a timely manner.

Provides support to the officers of the center assisting with routine departmental activities. Maintains class bulletin and scheduling. Coordinate with the Registrar on class listings. Answer basic questions on the Center's policies, activities, services, and operating procedures including NYU programs; language exam testing; and the Shared Course Initiative.

Assists with the coordination of the NYU language exchange program, including checking and maintaining rosters, communicating with and directing students, corresponding with administrative staff at NYU responsible for program coordination, and listing NYU exchange classes on Columbia's Directory of Classes using Course Management.

Maintains academic and administrative files and databases. Is expected to perform basic clerical and secretarial duties in support of the operation of the unit: picks up and sends mail; scans documents, photocopies material, answers telephones, delivers inter-office mail or messages, assists with special events (lectures, conferences, etc.); screens and greets visitors and answers incoming calls; maintains department mailing lists; orders departmental supplies checking inventories and refilling departmental stocks of office supplies as needed.

Assists the Associate Director of the LRC with the routine activities associated with the search and hiring of student assistants. This can include: posting job notices on the university's Work-Study Office website, assist with hiring student assistants as casuals when needed, providing basic job information to potential hires, coordinating the activities of student assistants including creating regular and substitution work schedules for student assistants, providing new hires with a basic orientation of the facility and its activities, communicating work activities to student assistants, keeping track of their hours, and preparing payroll rosters, on paper and electronically (FFE) for the Associate Director's approval.

The incumbent will perform related work as assigned.

Minimum Qualifications

  • High School Diploma or equivalent.
  • Two years of related experience.

Preferred Qualifications

  • Some college preferred
