M.S. Walker Office Assistant (Part-Time) in New Rochelle, New York

The M.S. Walker New York office is in need of a part-time Office Assistant. Reporting directly to the Sales Administration Manager, and supporting the sales team and other executive and administrative staff, this position will ensure the New Rochelle sales operations is supported and runs smoothly.

The hours will be Monday - Friday 8:30 am - 1:30 pm onsite in our New Rochelle, NY office.

Responsibilities:

  • General office management: organizing product samples, communicating with sales reps on product/inventory in office, checking-in deliveries, preparing outgoing shipments, etc.

  • Reception: answer phones, monitoring front door for the office, directing retailers towards credit, customer service, and their account specific reps.

  • Supply and Inventory Management: order and maintain inventory for office supplies; keep the point-of-sale items for our brands neatly organized and accounted for; informing sales reps of point-of-sale items and wine that come into the office, work with brand managers to help move through products as they come in.

  • Support of monthly in person meetings (GSMs): room set-up, managing attendance/headcount, and coordinating samples for the meeting.

  • Event support off-site: administrative support for retailer facing events, create name tags, packing supplies, inventory of supplies needed at offsite events, and create tracking documents to ensure execution.

  • Reporting: deliver timely Excel reports to retailers who need Excel feeds for online sales of our portfolio; basic reporting through EIS (will train on this system).

  • A/R follow-up: work with the credit department and brand managers to help keep supplier accounts receivable current. Work with the sales team to help keep retailer accounts receivable current.

  • Basic data analysis projects: utilize EIS and other tools, create new business target lists

Requirements

  • Proficient in Microsoft Office (Teams, Excel, Word, Outlook) and Zoom

  • Ability to work onsite/in-office at our New Rochelle, NY location

  • Outstanding organizational and communication (written and verbal) skills; team-oriented, quick learner, and comfortable working with shifting tasks and priorities depending upon business needs

  • On occasion the ability to lift up to 45lbs

Salary:

  • $20-25 per hour based upon experience
