POSITION SUMMARY:

Under the general direction of the Program Director, the Administrative Assistant will support the department by providing high-level administrative support for the day-to-day office operations, involving the use of discretion and independent judgment in handling confidential and sensitive information. Duties may also include training and onboarding of new staff, connection for new members and engagement for all members.

ESSENTIAL FUNCTIONS:

  • Answers telephone/email and responds to inquiries from families, volunteers, staff applicants, and the general public.

  • Maintain and updated files in compliance with federal, state regulations.

  • Assist with arranging and coordinating a variety of meetings and events.

  • Accurately maintains and updates all camp records and registration files.

  • Monitors enrollment, cancellations, waiting lists and no shows updating the Program Directors as needed.

  • Serves as a support for all members of the camp team as needed to ensure the quality and standards of the program are maintained.

  • Prepare a variety of routine and special reports under the direction of the Program Director.

  • Performs such other job-related duties as may be periodically assigned.

    QUALIFICATIONS:

  • High School Diploma required, college credits/degree preferred.

  • Three or more years of related experience working in an administrative assistant capacity.

  • Strong organizational skills, detail oriented, and planning skills.

  • Strong interpersonal skills and ability to communicate with all levels including staff, Board members and members of the general public.

  • Proficient in all standard business software.

  • Knowledgeable about and proficient in office processes and procedures.

  • Ability to work with integrity, discretion and a professional approach.

    PHYSICAL DEMANDS: Sufficient strength, agility and mobility to perform essential functions.
