Craven County Government Office Assistant IV - Animal Services Center (10351) in New Bern, North Carolina

Primary Purpose

The purpose of the Animal Services unit is to provide Animal Welfare and Rabies Prevention services including operation of the Craven Pamlico Animal Services Center (CPASC). The primary purpose of this position is to serve as the receptionist for CPASC.

Essential Functions
  • Provides professional customer service in person and over the phone.
  • Interactions with the general public can vary in scope from receiving complaints from citizens to assisting individuals with the process to adopt or reclaim animals, to answering questions to collecting money from the public for fees and generating receipts.
  • Tactfully and effectively handles requests, suggestions and/or complaints from the public, other agencies and staff, to maintain goodwill with the County system and animal control agencies.
  • Responsible for processing all paperwork resulting from animal bite reports, adoptions, reclaims, transfer paperwork, microchip documentation, rabies vaccination records, animal spay/neuter vouchers, daily inventory sheets, and donations from the public. After the data has been keyed, this person files the paperwork appropriately.
  • This position collects and accounts for applicable fees, prepares deposits and enters them into the Craven County Munis system.
  • Daily responsibility for balancing the cash drawer, making bank deposits, and delivering the batching and deposit slip to the Craven County Finance Department.
  • This position is responsible for typing, mailing and/or forwarding to the appropriate person any reports, correspondence, permits, certificates, etc.
  • All paperwork is copied and appropriately filed, scanned, or saved electronically.
  • Enters various data into the Pet Point software with accuracy.
  • This position is responsible for maintaining all files, including but not limited to adoptions, owner reclaims, and quarantine reports. This position is also responsible for replenishing forms and paperwork as needed, printing such forms in-house.
  • Creates new files at the end of each month and fiscal year.
  • This position is responsible for preparing and attaching (when required) the certified mail, return receipt requested forms, and mailings to the public regarding rabies vaccinations, spay/neuter.
  • This position is responsible for processing all mail that comes from the Health Department. This includes any financial donations payable to the Craven County Health Foundation. As needed, thank you cards are mailed to donors, along with the Foundations tax receipt.
  • Responsible for preparing outgoing mail and sending it to the health department on Mondays for postage and mailing.
  • Assists with daily cleaning, feeding, and shelter operation duties if needed and time allows.
  • Based on credentials, assists with vaccination of animals as needed.
  • In the event of a disaster, may be required to assist as needed.
  • Other duties as assigned by supervisor and/or management.
Minimum Education and Experience

Graduation from high school and demonstrated possession of knowledge, skills and abilitiesgained throughat least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.

Additional Information

Knowledge, Skills, and Abilities Must have considerable knowledge of office procedures and animal/rabies laws and rules; the ability to communicate effectively. Must be skillful in organizing an effective workflow; must be polite and tactful with the public. Attention to detail is crucial in this position.

Physical Requirements Ability to lift at least 20 pounds. Must be able to handle and control animals to prevent injury to themselves as well as others.
