Craven County Schools Bookkeeper (High School) - New Bern High School in New Bern, North Carolina

Position: Bookkeeper (High School) Reports to: Principal

Terms of Employment: 12 month, full time Pay Grade: 63

Pay Range: $2,509.84 - $4,288.75

FLSA Status: Non-exempt


Nature of Work

Responsible for processing, monitoring, and managing the high school's financial transactions. Duties also include checking in substitutes and ensuring all classes are covered, assisting with secretarial duties of the main office, approving and entering employee leaves and assisting with supervision of students after school and during lunches.

Education and Experience

  • High school diploma or equivalent plus courses in bookkeeping or related areas
  • At least 2 years of experience with bookkeeping, accounting, and secretarial skills or related

Essential Functions/Typical Tasks

  • Input all purchase requisitions, track purchase orders and check-in purchases when delivered.
  • Perform monthly bookkeeping functions including budget status meetings with the principal or designee, reconciliation of all building accounts and printing and distributing financial reports to administrators, Athletic Director, club sponsors and coaches.
  • Process and input all expenditure and credit transactions in internal bookkeeping program, including vendor checks, employee expenses, journal entries, deposits, etc.
  • Collect, count, and deposit all monies for building.
  • Check-in all substitutes to the building and assist in ensuring all classrooms are covered prior to the first period.
  • Assist co-workers in all phases of secretarial work needed to run the mainoffice.
  • Assist administrators with dress code violations and catering for staff as needed.
  • Assist witt1 supervision of students if needed.
  • Track two-way radios and obtain repairs, as needed, to keep them Help to maintain record of asset inventory and record disposition of equipment. Communicate with District personnel regarding inventory items.
  • Approve leave in absence reporting system and input all business leave that is requested
  • Balance internal bookkeeping records.
  • Close-out fiscal year budget in June and determine carry-over amount for the next school year.
  • Implement and prepare annual building PPA budget for Board approval with assistance from the administrative team.
  • Book field trip buses coordinate with the district and teachers to ensure the field trips go as planned.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

Communication, interpersonal, organizational, basic spreadsheet, word processing, microcomputer, customer service, secretarial, math, and basic accounting skills. Operating knowledge of and experience with microcomputers, general office equipment, and computer software including Microsoft Excel and Word. Operating knowledge district-designated work order system and student information system required within 1 month after hire. English language skills required.

Physical Requirements

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Special Requirements

  • This job has no supervisory responsibilities; however, this position is responsible for supervising students in the school office, after school, and during lunches as needed. Acts as a resource for individuals throughout the school by processing purchase requests a d providing information regarding order status.
  • Valid drivers license.
