Vanderbilt University Recruitment Coordinator in Nashville, Tennessee

Vanderbilt University is seeking a recruitment coordinator to manage Vanderbilt’s recruitment of participants for a longitudinal study examining sensory perception in children from birth until young adulthood. Vanderbilt is the lead institution for a research consortium that includes Yale University, the University of Lausanne, and the Italian Institute of Technology in Genoa – each of which will be responsible for recruitment at their site. This position not only involves the recruitment activities but also offers a unique opportunity for extensive networking across these institutions. Reporting directly to the consortium PI, the Recruitment Coordinator is a full- time position collaborating with the Vanderbilt team on a daily basis to achieve efficient and seamless lab functioning and ensure successful research participant experiences. This position also provides general administrative and operational support to the research lab staff.

The Recruitment Coordinator is responsible for the recruitment, scheduling, and hosting of research participants for this large project and serves as a primary point of contact between research participants and their families and the project team. The Recruitment Coordinator will work within the University financial and reporting systems to meet administrative needs of the lab and the Principal Investigator. The Recruitment Coordinator is responsible for collecting and organizing parent and teacher data and will provide occasional support to other members of the research team.

Duties and Responsibilities:

Manage recruitment, screening, scheduling, and retention efforts for multiple concurrent large- scale research studies. o Administer telephone and/or online screening surveys to potential participants and/or families.

o Determines eligibility of prospective participants, assuring prospective participants fulfill eligibility requirements. Proactively seeks supervisor input when necessary.

o Manages recruitment plans and execution.

o Schedules participants for research activities.

o Conducts ongoing informed consent process, ensuring that human subjects and their families clearly understand what is expected of and from them in the course of participating in the research project.

o Engages in open communication with participants and families.

o Manage participant visits to EBRL and communicate with families regarding research procedures.

Support day-to-day administrative needs of the research lab.

Identifies and procures equipment and supplies needed to fulfill project requirements.

o Work within the university’s financial and reporting systems for lab needs (e.g., submission of purchase requisitions for lab supplies and research subject payments).

o Manage Principal Investigator’s travel itinerary purchases and reimbursements.

o Manage Risk Management and Protection of Minors documentation for lab employees.

o Ensures that study specimens (saliva) are collected, packaged, and shipped to the sponsor or laboratory in accordance with sponsor and shipping guidelines and regulations, maintaining appropriate documentation

Collaboratively participates in study team meetings. Maintains open and positive communications with investigators, participants, co-workers, other departments, and sponsors.

o Assist in other general administrative lab procedures and maintenance as needed.

Collect and organize psychosocial data obtained from research activities. o Maintain research participant files and records.

o Manage collection, scoring, & storage of psychosocial participant data.

o Enter data into databases.

Under supervision, assist Imaging Team with research activities o Conduct or attend mock MRI scans to acclimate child participant to the MRI scanning environment.

o Serve as a Scanner Buddy for real MRI scan procedures.

Supervisory Relationships:

This position does not have supervisory responsibility; this position reports administratively and functionally to Administrative Manager.

Education and Certifications:

Minimum of Bachelor’s degree is necessary.

Degree within the fields of Psychology, Education, Neuroscience, or related field is preferred.

Qualifications:

Experience working with children and families, managing coordination of complex schedules, and proficiency in Microsoft Office are necessary.

Experience with research informed consent/assent processes is strongly preferred.

Exposure to neuroimaging methods, especially EEG and fNIRS, is preferred.
