Job Overview: Â

As an Assistant Community Manager,you willprovidesupport to management in the overall operations of Community Association business anddeliverexceptional customer service to owners, residents,clientsand vendors.Â

Â

Your Responsibilities: Â

  • Provideexceptional customer service to clients and vendors at all timesÂ
  • Respond to inquiries andprovideresolution to questions or concerns intimelyfashionÂ
  • Assistwith the daily generalfinancial managementand recordkeepingÂ
  • Assistwith bid processÂ
  • Conduct regular inspections ofsite, where needed.Â
  • Maintainall records in Connect including work orders, resident information, Association documents, community information.Â
  • Ensure maintenance of all files,recordsand correspondencein accordance withcompany procedures and good business practicesÂ
  • Attend all Board meetings, where necessaryÂ
  • Assistwith preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board PacketÂ
  • Assistwithestablishingan annual calendarindicatingall association activity, deadlines, election, meetings, projects, etc.Â
  • Assistall walk-in homeowners and refer to Community Manager, when necessary.Â
  • Handle mailings, asneededandrequired.Â
  • Recordkeeping – binders to be kept with the following: Monthly Agendas, Modification Requests, Work Orders, Financials (including Social/Trip accounting).Â
  • Meet with Community Manager weekly to ensure completion of open action items.Â
  • Regular attendance and punctuality are essential functions for the roleÂ

 Skills & Qualifications: Â

  • College degree or equivalent work experiencerequiredÂ
  • Minimum of 2 years’ experience in a customer service environmentÂ
  • Strong organizational skillsÂ
  • Strong written and verbal communication skillsÂ
  • Excellent computer skills required including email, Word,Exceland PowerPointÂ
  • Excellentorganizational skillsand project managementÂ
  • Exceptional communication and interpersonal skills.Â
  • Advanced written communication skills.Â
  • Advanced Microsoft Office skills.Â
  • Knowledge of basic accounting/budgeting procedures.Â
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.Â
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare andsubmitreports in acceptable formats andina timelymannerÂ
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.Â
  • Must be able to work on more than one assignment at a time with frequent interruptions,changesand delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
