Job Description

  1. POSITION SUMMARY:

In this role, the Legal Assistant will be responsible for answering redirecting telephone calls when necessary, greeting clients and other visitors at the office, scheduling client medical appointments, scheduling and updating the office calendar for vocational conferences and training, scheduling the Paralegals and Attorney for client, judge and vocational conferences, taking accurate messages for attorneys and other staff, scanning documents, texting and calling clients, handing out daily checks, assisting with translation and helping clients fill out paperwork, opening, sorting and scanning mail and other clerical duties.  This position requires a candidate that can learn and adapt in a fast-paced environment.  Complete fluency in Spanish and English is required for this position, as it requires daily communication with our Spanish-speaking clients. II. ESSENTIAL DUTIES AND RESPONSIBILITIES: -Provide exceptional customer service by answering incoming telephone calls, assisting the caller with any questions they have, re-directing calls to Paralegals, Attorney or Office Management as needed, taking accurate messages, and following up on tasks. -Greet new clients and instruct/assist with filling out new client intake forms -Update office calendar for Docket BIIA court appearances, reminders for due dates and schedule meetings for client, vocational counselors, and attorney meetings -Communicate case information to current clients in person and via e-mail -Sort incoming Mail, scan, file, and fax incoming correspondence; distribute as needed to attorney, providers, and clients -Address envelopes and run Pitney Bowes postage meter for out-going mail -Create new client files and organize and scan documents into database -Fill out forms that need to be addressed on clients and law firm's behalf, fax or mail as needed -Maintain organization of all client's files, open new files and send closed files to storage -Draft letters and other correspondence for attorney review. -Staffing claims with Attorney -Creating file reviews -Navigate Labor and Industries Claim and Account Center to obtain information or documents -Communicate with health care providers, pharmacies and other business contacts as needed -Provide administrative support to attorney and staff -Translate/Interpret for attorney and clients -Managing the flow of incoming mail, faxes, and deliveries to reach the intended recipients. III. SPECIAL KNOWLEDGE, SKILLS, ABILITIES: -Excellent organizational, written, and verbal communication skills -Proficiency in Microsoft Office including Word and Excel. -Extensive experience in operating printers, copiers, scanners, facsimile, and appointment scheduling. -Detail-oriented and ability to handle large amounts of paperwork for a busy office. -Team and client oriented -Punctual/Reliable -Exceptional business etiquette, and maintaining a professional appearance -Bilingual (Spanish/English) required

EDUCATION / EXPERIENCE: -Education: High school diploma or GED; -College Certificate or Degree preferred -Experience: 1 year of experience working in an office setting as an Administrative Assistant, Receptionist or Clerical Assistant V.
