EXECUTIVE SECRETARY

Position Number: S-3291

Position Summary:

Duties performed are of a complex and varied secretarial/administrative nature in the Department of Theatre and Dance. This position requires a high degree of decision-making, confidentiality and independence of action. This is the most senior level office professional position and while it incorporates elements of other levels, it has a majority of effort associated with more complex administrative support services. 

Required Qualifications:

High school diploma or GED . Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job. 

Preferred Qualifications:

Knowledge of specific software programs and/or mainframe systems skills may be desired by the hiring department. (i.e. Excel, SAP ) Knowledge of CMU budget and registration systems (SAP , Degree Progress, Data Warehouse, and Wait Listing.) 

Duties & Responsibilities:

Coordinates departmental office and provides administrative support to the department chair, faculty and staff in the Department of Theatre and Dance. Maintains and analyzes budgetary records which includes reconciliation, monitoring and tracking expenditures, preparing budget statements and making projections regarding the status of accounts. Reconciles departmental credit card statements monthly, maintenance of all credit card receipts and records. Prepares reimbursement and invoice vouchers. Purchases supplies and equipment and maintains all associated records. Inputs and approves faculty, staff and student payroll via TimeLink. Prepares paperwork related to faculty and staff employment. Assists department chair in course scheduling process. Hires, trains and supervises student employees. Assists with departmental annual inventory. Performs other duties as assigned.

Position supervises student office assistants.
