  • Two or more years of office secretary or office management experience

JOB GOAL: To assure the smooth, efficient operation of the school office and to provide clerical support to building administrator and staff so that the office’s maximum positive impact on the education of children can be realized

PERFORMANCE RESPONSIBILITIES:

  • Provide office coverage from 7:30 to 4:30 for the safety and security of the building.

  • Receive and route all telephone calls and record messages.

  • Welcome and oversee the admittance of school visitors; use the Raptor system.

  • Assist the principal in finding substitute teachers and associates and maintain absentee records for the staff.

  • Coordinate daily announcements and newsletters for the building.

  • Assist and orient substitute teachers and substitute associates

  • Maintain student attendance records, including check-in and check-out.

  • Maintain permanent school records and files and send transcripts upon request.

  • Make contact with parents of students that are not in attendance and have not been called in by a parent/guardian.

  • Work collaboratively with the District Registrar to maintain enrollment and withdrawal records and to enroll new students during the school year.

  • Maintain the inventory of supplies in the office.

  • Provide coverage of breakfast and lunch point of sale when needed.

  • Enter lunch monies in the student management system and make deposits in absence of the business office.

  • Coordinate purchase of supplies and materials by comparing prices, completing requisitions, completing an inventory of purchased materials as they arrive, and submitting purchase orders and invoices to the business office.

  • Operate and repair office equipment.

  • Assist the school nurse with the distribution of medications when necessary.

  • Prepare and submit accurate district reports as requested.

  • Train new staff in the student management system (Infinite Campus) and provide additional training or updates for the program to the faculty. Troubleshoot problems with the faculty and staff, escalate unresolved problems to the district Registrar or Director of Technology

  • Maintain the attendance and tardy step system in Infinite Campus, mailing letters to parents, and setting up detention and ISS when necessary. Provide F lists to the counselor and principal for their review.

  • Make programs for school events and activities as needed.

  • Update and maintain the Infinite campus parent contact system with accurate contact information. Prepare all registration paperwork for parents/guardians to complete. Update all information into SIS. Prepare School Handbooks for yearly distribution.

  • Coordinate picture days.

  • Support the building administrator and district leaders in the event of an emergency.

  • Collect monies for field trips/school-sponsored activities.

  • Maintain a calendar of building events and make sure building-wide events are posted on the district activity calendar.

  • Using social media and email, ensure adequate communication of events and schedule changes with staff, students, parents, and community members.

  • In collaboration with the building principal, Director of Operations, building custodians ensure all facilities are readied for all events.

  • Supports the PTO/PTA as requested by the building administrator.

  • Perform clerical duties for the building administrator and teachers as needed.

  • Other duties as assigned by the building administrator.

TERMS OF EMPLOYMENT: Salary and work year to be established by the board.
