PACIV File Clerk - Puerto Rico Office in Miramar, Puerto Rico

PACIV, an international control systems integration and regulatory compliance engineering firm servicing Bio-Pharmaceutical, Medical Device, F&B, and Water/Wastewater clients, is looking for a part-time File Clerk employee for our Puerto Rico office (San Juan).

Position Overview:

The File Clerk plays a vital role in maintaining the organized and efficient operation of our Accounting Department at PACIV. This position involves accurately sorting, filing, and retrieving documents, records, and other materials. The File Clerk will work closely with the Accounting Leader to ensure that information is stored and accessible on time.

Key Responsibilities:

  • File Managing: Organize and maintain physical and digital filing systems, ensuring that documents are labeled, categorized, and stored appropriately for easy retrieval.

  • Document Sorting: Sort incoming documents, based on predefined categories, dates, or other criteria.

  • Data Entry: Input and update information in databases or document management systems accurately and efficiently.

  • Record Keeping: Maintain records of file activities, including tracking file movements, updates, and retrievals.

  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain confidentiality protocols at all times.

  • Communication: Collaborate with colleagues across departments to facilitate efficient file management processes and address any inquiries or concerns regarding files.

    Qualifications:

  • High school diploma or equivalent qualification.

  • Experience in file management, document processing, or related administrative roles preferred.

  • Proficiency in using office equipment such as scanners, photocopiers, and computers.

  • Strong attention to detail and organizational skills.

  • Ability to work independently with minimal supervision and as part of a team.

  • Commitment to maintaining confidentiality and handling sensitive information with discretion.

    Physical Requirements:

    Ability to lift and carry boxes or files weighing up to 25 pounds.

    Extended periods of standing, bending, or kneeling may be required while handling.
