City Of Minneapolis-Human Resources Scheduler & Outreach Coordinator (Policy Aide) in Minneapolis, Minnesota

Position Description The Office of Mayor Jacob Frey is seeking a highly qualified candidate for the position of Scheduler and Outreach Coordinator (Policy Aide). This position provides operational support, communications, research, engagement, and outreach assistance to Mayor Frey across all policy priorities. This position will equally support the Operations Team and the Communications & Engagement, assisting with internal operations and community outreach - specifically connecting the office to underserved communities and cultural corridors in Minneapolis like Cedar-Riverside, North Minneapolis, East Lake Street, etc. This position in the Mayor's Office is politically appointed. It is the expectation of the Mayor's Office that staff work in-person five (5) days per week, with limited exceptions. The City of Minneapolis does not sponsor applicants for work visas. A resume and cover letter are not required, but are recommended. Job Duties and Responsibilities Scheduling and Logistics Management (70-75% of time) Primary operations planning and support for the mayor's calendar and daily schedule, working closely with the Operations Director to follow office processes to schedule meetings and coordinate travel logistics for the mayor. Work with staff of all departments in the Mayor's office to ensure all event materials are complete and timely, including event briefing materials and communication with other event staff. Arrange and coordinate advance and travel logistics for the Mayor Serve as a key member of the operations team providing support in office logistics, scheduling, and mayoral correspondence as requested. Effectively and swiftly follow up on requests from mayor and senior staff Community Engagement and Outreach (25-30% of time) Develop and implement strategic community outreach plans for cultural corridors (Cedar-Riverside, East Lake Street, West Broadway, etc.) to ensure the mayor's policy priorities are being brought to diverse community members, residents, and other stakeholders. Deepen external relations with underserved communities by regularly connecting with community members to receive feedback regarding current policy issues and use that feedback to inform future policy decisions. Provide consistent input and updates from the community during policy discussions and meetings to help inform decision-making. Assist policy team members in inviting and engaging cultural and community stakeholders at their events. Build and sustain relationships between the mayor's office and external cultural partners including diverse community partners, faith leaders, and other local community organizations. Staff the mayor at events - some of which the mayor's office is hosting and some where the mayor is an attendee of a community events hosted by another group. Monitor Mayor's social media accounts for opportunities to amplify cultural community voices and engage our cultural community members through strategic messaging. Other duties as assigned Required Qualifications Ability to be self-motivated and work independently in a fast-paced environment Excellent time management skills with proven ability to meet deadlines Experience managing multiple projects and priorities at the same time Attention to detail Proven ability to maintain confidentiality Exceptional written and verbal communication skills A proven track record of developing and maintaining strong working relationships with cultural community members in Minneapolis Respectful and tactful interpersonal skills Knowledge of, and the ability to use, modern office computer software including email, word processing, spreadsheets, and other software programs; advanced experience with Microsoft Outlook and Office Suite a plus Ability to occasionally work evening and weekend hours Desired Qualifications Ability to speak another language and provide translation services (Somali, Spanish, Oromo, Hmong, etc.) Prior knowledge of Minneapolis' diverse communities and what their needs are Background Check The City has determined that a criminal background check and/or qualifications check may be necessary for certain positions with this job title.
