Job Summary Job Description What is the opportunity? We're looking for an Executive Assistant to provide direct support to our US Wealth Management Executive Leadership team. This role will provide administrative support, organize schedules and correspondences to ensure operational effectiveness, assist with events, maintain calendars, coordinate travel and prepare presentation materials. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the leadership team. What will you do? Heavy calendaring for all principals; maintenance of daily agendas, coordinate meetings, conferences and other appointments on-demand between internal and external clients Coordinate business travel arrangements and process expense reports accurately and promptly for principals Coordinate onboarding logistics for new team members Communicate with senior-level executives and clients with discretion and confidentiality Executive deliverables on time and prioritize tasks at hand Liaison with tech team as needed Expense/invoice management and tracking Monthly and ad-hoc reporting Maintain office technology and supplies Performs other related projects as assigned What do you need to succeed? Must-have Expert organizational knowledge and deep understanding of the operational environment. 3+ years of experience as an Administrative Assistant supporting at least a senior management positions Intermediate skills in Microsoft Suite (PowerPoint, Excel, Outlook, Word) Strong interpersonal skills; ability to work effectively with others in a pleasant, professional manner Excellent organizational skills with the ability to coordinate multiple projects at the same time Self-starter who works independently with minimal supervision; can effectively work under pressure and meet sudden deadlines Able to handle confidential matters with discretion and good judgment Nice-to-have Experience working in the financial services industry a plus *This is an hourly, non-exempt role.
