Let's Redefine Possible SUMMARY Mortenson is looking to add an Associate Legal Operations Specialist to the team. This individual will be responsible for providing day-to-day operational and administrative support to the Legal Department. Working with the Legal Operations Manager, responsible for supporting, learning, and performing tasks that promote effective and efficient workflow, systems, and processes within the Legal Department. RESPONSIBILITIES Billing and invoice administration Receive and route legal invoices for approvals Process approved invoices for payment in Accounts Payable system Request checks for settlements and other payments Work with Accounts Payable team to set up new suppliers, resolve billing issues, and to ensure timely payments Work with new and existing outside counsel and other legal services suppliers to ensure invoices are submitted appropriately Matter management system administration and timekeeping support Open new matters in department's matter management system Administer matter management system and ensure system contains the most current and accurate project, legal matter, and billing information available Prepare reports from matter management system for data utilized in various legal reports Prepare reports to assist operating group accounting managers in tracking legal costs Input outside counsel and other legal supplier costs into matter management system to track outside costs Assist Legal team members with timekeeping as needed to track internal costs Work with Finance & Accounting to set up new legal matters for timekeeping and Payroll purposes Meeting coordination Schedule meetings and assure details for conference rooms, online meeting instructions, catering, and audio-visual needs Work effectively with team member calendars for one-time or repeating meetings Prepare material and documents for various meetings and events as needed Document and knowledge management support Manage licenses and renewals for legal software and subscriptions Assist with updating and designing Legal intranet sites Populate, organize, and maintain various repositories and locations of departmental files and resources Support department with continuous improvement of processes, practices and systems for effective document and knowledge management General administrative duties Open, sort and forward or distribute mail coming into Legal to appropriate team members or departments Make travel arrangements and submit expense reports as needed Order, monitor and maintain computer and office supplies as needed Other duties Assist with preparation of presentations and reports Assist with preparation of business license renewals As capacity and capabilities permit, assist with contract reviews by preparing comparisons, redacting contracts, and reviewing confidentiality agreements or non-disclosure agreements Coordinate with Legal team and business groups to monitor needs, facilitate the delivery of, and track legal training within the company QUALIFICATIONS Bachelor's degree 2+ years of work experience in a law firm, an in-house legal department or comparable experience Ability to maintain a high level of confidentiality and discretion Detail orientation and ability to organize and manage multiple projects Excellent organizational and multi-tasking skills, with the ability to be flexible as needed Proficient skills in Microsoft Word, Excel, Outlook and Power Point Adaptive, effective communication and active listening skills Positive and professional attitude and strong customer service skills This position is not eligible for visa sponsorship #LI-BS1 Mortenson is an EOE/Affirmative Action/M/F/Veteran/Disabled employer.
