Provides functional oversight and supervision for the Dental and Mental Health clinics operations, administration and management. This position requires expertise in current and future clinical services modalities including clinical care operations, scheduling, patient intake, EMR, staff supervision, work plan management, billing, claims, account receivable, inventory, finance, reporting and compliance. The Associate Director of Operations is responsible for project management and implementing improvements. Uses best practices and methods to measure key performance indicators. Utilize and coordinate between departments to maximize efficacy and efficiency within the matrix environment. Will work closely with medical leadership and staff to achieve access, support growth and deliver on Boynton's strategic goals. Integral skills include project management, analysis, planning, prioritizing and implementing successful operational processes, space and supplies allocation to enhance clinical services. The Associate Director of Operations provides supervision and support for the Dental Assistant Manager, Administration, the Dental Assistant Manager, Clinical and the Assistant Manager Mental Health departments. In coordination with the Director of Operations and Associate Director of Operations will develop, implement and evaluate strategic business plans for these clinical services. Will implement, and monitor standards of performance in quality assurance (QA) and continuous quality improvement (CQI). Detailed Job Responsibilities: Optimize clinical service modalities: (20%) Analyze patient modality needs through surveys and comparison to community standards Evaluate possible improvement initiatives and strategies. Coordinate and project-manage appropriate review for proposed process change. Guide implementation of recommended and approved process changes. Develop methods to measure and document satisfactory performance of new and current processes. Analyze and recommend major equipment and furnishing purchases. Analyze and recommend space utilization. Evaluate, plan, and implement clinical service operations provided to external entities under contract. Guide the organization toward optimized access to its patients: (25%) Coordinate provider input into strategies to meet identified access needs.Evaluate possible improvement initiatives and strategies. Recommend appropriate provider access on a semester basis.Develop tools to measure and document patient satisfaction with access and related clinical processes. Provide project management expertise to drive progress in clinical operations for Boynton Health in Dental, Mental Health, IT, Informatics, EMR applications and clinical services as needed directed by the Director of Operations. Direct activities and work performed in assigned areas: (15%) Initiate, implement, and maintain departmental policies and procedures, continuous quality improvement and quality assurance programs. Direct and audit supply and equipment purchases, and repair and maintenance of equipment and physical facilities. Direct and approve schedules, vacation requests, and CME utilization of reporting departments including clinic providers. Oversee the overall operational aspects of assigned areas: (10%) Review and forward to DOO data analysis for Dental Clinic and Mental Health as needed. Review and forward to DOO budgets and negotiated contracts for services and supplies for assigned areas. Develop goals for supervisors and managers in assigned areas as part of the Strategic Planning Process. Review cost containment initiatives, productivity monitoring and workload recording with clinic lead rship Supervise the Managers and Supervisors in each departmental area: (15%) Review and approve manager and supervisor development of procedures specific to their departments. Review and approve manager and supervisor safety programs and in-service training. Assess manager and supervisor's performance using performance standards as guidelines. Ensure that managers and supervisors prepare assigned areas for inspection by accrediting agencies and that they correct noted deficiencies. Conduct performance reviews for direct reports. Develop and maintain inter and intradepartmental communication: (10%) Conduct Operational meetings with Managers and Supervisors. Serve on appropriate committees as assigned. Review and approve manager and supervisors communication of operational changes related to their areas. Facilitate the relationship of assigned areas with the public, nursing personnel, the providers, Medical Director, and all other departments. Additional Responsibilities: (5%) Promote a safe, equitable, and respectful environment in which concerns can be addressed effectively. Other duties as assigned. Qualifications Required Qualifications: Demonstrated commitment to promoting a culture that respects and advances diversity and inclusion. Project Management Experience BA/BS degree in Business or Health Care field with at least eight years of clinical management experience. Preferred Qualifications: Experience working with individuals from diverse racial, ethnic, and socioeconomic backgrounds.
