Description
Under the guidance of the Division’s Supply Chain Manager, and in direct support of the Supply Chain Lead, the Supply Chain Coordinator will be responsible for supporting all operations in fulfilling equipment requests from consultants. This position requires attention to detail, extensive multitasking/prioritizing skills as well as a large amount of data entry. On call every 4th week.
Job duties include, but are not limited to the following areas of responsibility:
· Coordinator will be responsible for answering phones /emails/texts for equipment requests, and coordinating the equipment out to location in a timely manner. Dispatch emails will be sent out for each request with proper documentation to each vendor.
· Rotation will be one week on dispatch and two weeks administrative support.
· Duties include but are not limited to the following areas of responsibility:
Being able to Proactively address problems and find solutions.
Contacting Vendor to address issues
Keeping POC’s updated on solutions
Reporting ALL major issues to direct Supervisor.
Documenting and verifying information on email threads**
Keeping Live Boards of current locations and equipment assigned to those locations. Updating Dispatch log live to track all assets on rent
· Additional Duties: Obtaining a weekly On Rent Report from Vendors:
Comparing units on vendors reports to our records
Investigating direct calls from consultants
Tracking quantity and longevity of vendors rentals on locations
Contacting and assisting vendors if there is any discrepancy in reports to ensure all assets are being billed accurately.
Coding Invoices, ensuring and verifying accurate charges with vendor’s submitted rates.
Requirements
• Experience in Billing and Invoice Processing
• Strong skills in Data Entry
• Proficiency in Microsoft Excel
• Familiarity with Oracle
• Prior experience in the Oil & Gas - Explor & Prod industry
• Ability to maintain accurate records and provide timely reports
• Strong problem-solving skills and attention to detail
• Excellent written and verbal communication skills
• Ability to work independently and as part of a team
• Understanding of basic accounting principles and financial regulations
• Ability to multitask and manage time efficiently
• Proven ability to maintain confidentiality in handling sensitive financial information
