Job Title: Administrative Assistant- Accounting (LC)

Job Summary: EMCOR Government Services has an immediate need for an experienced Administrative Assistant to assist in successfully supporting our facilities department in McLean, Virginia This person will be responsible for responding to clients, service billing, payroll, purchase orders, order insurance certifications, and other general administrative duties. Hours are Monday through Friday 6:00 am to 2:00 pm. This position is covered by the CBA for Local 99

The ideal candidate will possess three to seven years of previous office experience in a service/mechanical, electrical or construction setting, proficient in Microsoft Office, quick learner, good telephone skills and proven organizational skills. Having used or prior knowledge of MAXIMO and JD Edwards is a plus but not required. Prior administrative experience with a service company is a plus. This person must have an outstanding personality, be able to communicate well with clients, and a 'can do' attitude is required.

Essential Duties and Responsibilities

  • Creating purchase order numbers and work order numbers.

  • Working with vendors and AP processing invoices for payment.

  • Timekeeping entry and reports

  • Assist Program Manager with Budgeting.

  • Tracking and filing projects.

  • Assist and/or cover CMMS Clerk – BOC with Service Calls processing.

  • Work with Venders and setting up new vender accounts.

  • Purchase Card Reconciliation

Qualifications :

  • Must possess the ability to type up to 50wpm

  • Three (3) or more years of Office experience and data entry.

  • Previous office experience in a service/mechanical, electrical or construction setting is a plus

  • Knowledge of purchase ordering is beneficial.

  • Knowledge of timekeeping is beneficial.

  • Familiar with Microsoft Word and Excel.

  • Familiar with MAXIMO and JD Edwards is a plus not required.

  • Ability to prioritize work responsibilities and able to work with little supervision

  • Must be able to work Monday through Friday 6:00am - 2:00pm

  • Must have or be able to obtain a TS with SCI eligibility
