Description:

The Scheduling Coordinator's primary responsibility is to coordinate the reliable and efficient scheduling of all procedures performed in the operating rooms and procedural areas of Loyola University Medical Center (LUMC). On a daily basis, this individual will work with a multidisciplinary team of providers and clinicians to promote timely and adequate patient access to the departments' Master Daily Schedules while ensuring efficient, fair, and equitable utilization of key department resources (e.g. room capacity, medical equipment, Anesthesia/Nursing personnel, etc.). Additionally, the Scheduling Coordinator will demonstrate LUMC’s Magis Values and Service Excellence Standards, specifically through the cultivation of trustworthy relationships with physicians and their supporting departments.

  • Generates daily, weekly and quarterly schedules to ensure appropriate use of available block time while accounting for appropriate resource utilization

  • Constant acquisition, compilation and coordination of case requests from physicians' offices, while ensuring cases are promptly booked within appropriate block allocations and scheduled into rooms appropriate for the listed procedure

  • Checks with attending physician, resident, or clinic personnel regarding special equipment required to complete the surgical/procedural intervention, without delay or conflict

  • Ensures coordination of any pre-procedural testing or ancillary services needed prior to the procedure; informs outside departments (e.g. Pre-Admission Testing, Sterile Processing, PreOp, etc.) of last-minute schedule changes

  • Provides the next day’s preliminary schedule at the Surgical Services Daily Operations Huddle, at which an overview of potential challenges, recommend solutions, add-on case requests, and cancellations is provided

  • Obtains all necessary information required for insurance authorization (pre-certification) to ensure appropriate and timely financial clearance

  • Collaborates with the Anesthesia Clinical Director to assign anesthesia providers to all anesthesia supported procedures performed in the OR and outside departments

  • Maintain appropriate records in Epic OpTime relevant to the physician and clinic. Notifies the physician and team of any changes in the daily surgery schedule.
