    Position Summary

    The Administrative Assistant I will act as the assistant to the Program Operations Administrator by keeping a daily schedule; arrange for travel, appointments, answering and routing phone calls and type correspondence, as needed. Assist in the compiling and analyzing of data for administrative decisions. Create charts, graphs, and other display systems.

    The Work You Will Do

    Track staff vacancies, develop a folder to track all activity required to fill job vacancies and ensure that hiring packets meet established expectations. Interpret established policies and procedures and advise Unit staff in resolving problems. Provide policy and procedure information to Unit staff.

    Maintain Unit records to ensure continued licensure under ICF/DD regulations and make pertinent information available for AHCA surveys.

    Collect and review Unit employee timesheets, advise employees of corrections needed and forward timesheets to Human Resources. Maintain Unit records regarding pertinent employee information.

    Perform other related duties as required.

    Minimum Qualifications

    Preferred: Two or more years of supervisory experience in the operation of secretarial or clerical and office management.

    Three or more years of work experience in a secretarial or clerical setting.

    Knowledge, Skills, And Abilities

    Knowledge of: Correct spelling, punctuation, and grammar usage. Letter, report, and tabular formats. Office procedures.

    Ability to: Supervise people. Use correct spelling, punctuation, and grammar. Type letters, memoranda, charts, and other standard business forms in correct format. Proofread typed material for typewritten and grammatical errors and to make necessary corrections. Determine work priorities, assign work, and ensure proper completion of work assignments. communicate effectively. Establish and maintain effective working relationships with others.

    Demonstrate Skills in: Typing.

    Direct Deposit Program

    As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program. Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

    Background Screening Requirement

    It is the policy of the Florida Agency for Persons with Disabilities that applicants for employment undergo Level 2 employment screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment or being permitted to serve as a volunteer.
