University of Louisville Department Coordinator II in Louisville, Kentucky

Minimum Requirements:High School Diploma/GED with two (2) years of related experience or an equivalent combination of education and experience. Grade 2 (Hourly)Position Description:The Department Coordinator II for the Office of Undergraduate Advising will primarily assist the Executive Director of Advising with routine administrative tasks to ensure the success of the department. This position operates under the direct supervision of the Executive Director, assisting with a variety of routine administrative duties in support of the day-to-day operations of the department. This position provides excellent communication between the Executive Director of Advising, the Advising Units, and University partners.Essential Duties and ResponsibilitiesAssist the Executive Director by providing general administrative support including but not limited to maintaining calendar and meeting schedules, office communications, scheduling travel, and ordering office supplies.Provide exemplary customer service by answers calls, emails, walk-ins for the Undergraduate Advising Office and updating the website as needed.Assist with coordination of special events held by the Undergraduate Advising Office including but not limited to coordination of catering, reservation of event locations, sending communications regarding meetings, and maintaining an attendance list.Support Advising Units administration with routine tasks, as necessary, based on direction of Executive Director.Maintains list of data on Undergraduate Advisor caseload.Serve as a Liaison for the Undergraduate Advising Office with University Offices such as Finance Office, Human Resources Office, Business Operations Office, Information Technology Office.Supports the Recruitment process of new employees by coordinating departmental onboarding.Serve as a ProCard holder and complete reconciliations.
