Description

An entertainment company in Century City is hiring an Executive Assistant to support the Chief HR Officer. This is a direct hire opportunity, and you will work onsite 4 days per week. As the Executive Assistant to the CHRO, you will play a vital role in providing comprehensive support to the executive and the HR Team. This position involves managing schedules, coordinating projects, offering technical and administrative assistance, and fulfilling various administrative duties to aid the executive. The ideal candidate will have prior experience in supporting senior-level executives, exhibit the utmost confidentiality, and possess a strong service-oriented mindset. Adaptability to a dynamic work environment is essential.

Responsibilities:

  • Manage and coordinate the executive's calendar, which includes scheduling and prioritizing appointments while accommodating internal and external requests.

  • Collaborate with internal stakeholders and cross-functional teams to organize meetings, agendas, and related logistics.

  • Keep the executive informed of relevant activities and facilitate decision-making processes.

  • Handle confidential departmental matters with discretion and sensitivity.

  • Develop strong relationships with key internal partners and serve as a resource for inquiries related to operational procedures.

  • Assist in fostering team recognition and engagement initiatives to enhance morale.

  • Plan and organize team meetings, internal events, and off-site activities, including logistical and budgetary considerations.

  • Prepare and submit accurate expense reports in a timely manner.

  • Arrange travel arrangements, including transportation and accommodations.

  • Coordinate and schedule meetings, prepare agendas, record minutes, and assist in creating presentation materials.

  • Provide on-site support to executives, including catering and audio-visual assistance.

  • Perform other duties as assigned.

The ideal candidate will have 7-12 years supporting an executive in entertainment, media, real estate, and finance environment. Pay for the position is $30-35/hr, based on experience. This position is onsite Monday- Thursday and remote Friday.

Requirements - Familiarity with using the internet for research tasks

  • Executive Meetings experience desired

  • Excellent social skills, project coordination experience and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
