The Department of Population and Public Health seeks qualified candidates for an Assistant Research Administrator to support departmental research activity, contracts & grants, for post- award and other departmental financial needs. As a member of the department’s research administration team, the successful candidate provides backup support for other post-award research administrators and may also help in pre-award tasks.

The core job duties are:

  • Sponsored Research Proposals/Grant Solicitation: Works with assigned units to support local research teams with the submission of research proposals to sponsoring U.S. government agencies (e.g., the Department of Defense, the National Institute for Health) and other grant-makers (corporations, foundations). Prepares draft budgets and gathers data necessary to submit proposals in accordance with agency and university guidelines.

  • Account Management: Works with assigned units to support budget management related to sponsored projects. Helps monitor and reconcile account activities for assigned projects. Supports expense management and procurements (i.e., materials purchasing) in assigned units.

  • Payroll: Supports grant-funded payroll operations in assigned units for research staff, faculty, research assistants, student workers, and visiting scholars in collaboration with the central team.

Compliance: Supports all elements of institutional compliance to ensure that all policies and procedures are followed across all areas of research

Post-award tasks include:

  • Monthly Review, reconciliation, and projection of award finances

  • Preparing adjustments and corrections to award budgets

  • Preparing financial reports, and at the end of the award, ensuring all financial requirements have been met, and closing out the award.

  • Interacting regularly with and provides high quality customer service to faculty members conducting sponsored research.

  • Ensuring adherence to quality standards and all policies and award regulations

  • Creating high quality written documents

  • Distributing award information to PIs, co-PIs and relevant staff and other department units

  • Properly allocating and tracking faculty and staff effort allocated to grants.

  • Projecting future award expenditures

  • Managing budget, reporting and compliance timelines through the lifecycle of the grant or contract

  • Coordinating and submitting requests for No Cost Extensions, Carryover, rebudgeting requests, changes in scope, and other changes to the award; ensuring all requests are done in compliance with sponsor guidelines and University policies.

  • Facilitating the approval of invoices to pay subcontractors.

  • Reviewing effort reports and manages quarterly effort certification process for assigned units.

  • Applying federal and university rules to management of effort allocation appropriately for individuals compensated whole or in part from federal awards.

  • Assisting in transferring awards out of the university

  • Closing out all funded projects consistent with university process and timelines

  • Other tasks as requested by the supervisor.

    Hourly Range:

The hourly rate range for this position is $34.84 - $36.00. Minimum Education: Bachelor's degree Combined experience/education as substitute for minimum education Minimum Experience: 1 Year Minimum Field of Expertise: A Bachelor’s Degree or equivalent combination of education and experience with broad knowledge of relevant research computer software, e.g.: Microsoft Access, Word, Excel, PowerPoint; Outlook, SPSS, Visio, and SunGard. Experience in creating and analyzing statistical reports. Must be able to utilize computer technology to access data, maintain records and generate reports. Proven oral and written communication skills to interact with other employees.
