Job Description

Position Overview

The position of Graduate Medical Education (GME) Program Coordinator (PC) is critical to the success of the residency and fellowship training programs at Cedars-Sinai. The PC is responsible for the day-to-day administration of the training program and assists the Program Director (PD) in developing and maintaining the educational quality of the training program, ensuring compliance with Accreditation Council for Graduate Medical Education (ACGME) accreditation standards, and compliance with institutional policies. In carrying out these duties, the PC liaisons with the PD, trainees, faculty, the GME Office, participating sites, and other departments. Successful PCs must have excellent skills in organization, time management, attention to detail, interpersonal relations, prioritizing tasks, and the ability to work independently.

Key Responsibilities:

  • Coordinates the resident/fellow recruiting process

  • Manages and organizes ERAS applications, schedules and conducts interviews for candidates

  • Coordinates onboarding and program orientation of residents/fellows and rotators

  • Interfaces with GME Office

  • Coordinates accreditation activities such as ACGME updates, milestone assessments, and annual program evaluations

  • Manages quarterly 360 evaluation of residents, program, and faculty

  • Coordinates educational activities of the program curriculum (i.e., didactic and conference schedules)

  • Manages New Innovations (NI) for program, including demographics, scheduling, evaluations, procedure logs, duty hours, and Medicare reimbursement.

  • Manages processes for rotation of residents/fellows to and from other sites (if applicable)

  • Provides information and guidance to residents/fellows on program and GME policies, and non-clinical aspects of the program

  • Tracks resident timekeeping and utilizes UKG timekeeping system

  • Manages in and out rotations (Sub/I - VSLO & UCLA Medical students)

  • Processes VISA requirements for ECFMG candidates

  • General administrative duties as assigned by Program Manager and/or Director

Qualifications

Educational Requirements:

High School Diploma/GED, required

Bachelors degree in Healthcare, Business Administration, Management or related field, preferred.

Experience:

2 years of progressively responsible administrative or strategic support experience required.

2 years of organizational program or project coordination/support experience; utilizing program/project management and development procedures preferred

2 years of experience in a graduate medical education (GME) environment
