What You Will Do

Pit Technologies is seeking a highly motivated, customer service focused, and experienced individual to provide professional business and administrative support to the PT Division Office. The selected candidate will report to the Staff Operations Manager and will support the PT Division Leader and 3 Deputy Division Leaders. The selected candidate will consistently demonstrate outstanding customer service skills, adaptability to change, attention to detail and accuracy, initiative, confidentiality, tact, and resilience. You will work closely to maintain a team environment marked by cooperation, collaboration, a willingness to provide support in the areas of human resources, procurement, and overall business needs. You will be responsible for teaming with others to provide consistently high-quality work in a fast-paced, always-changing environment with multiple, high-priority deadlines that require strong problem-solving abilities. Must be willing to accept and follow direction and to accept and incorporate performance feedback.

What You Need

Minimum Job Requirements:

Business and Administrative Support:

  • Demonstrated experience conducting research, analyzing problems, investigating alternatives, recommending solutions, and solving problems independently and as a member of a team to enhance office productivity and efficiency and ensure customer satisfaction.

  • Under limited direction, coordinates and assists in planning logistics, scheduling, announcements, and administrative facilitation of business, operational, and/or programmatic meetings and/or conferences.

  • Provide high-level administrative support which includes foreign and domestic travel, visitor agreements, policy and document management, procurement, webpage maintenance, and facility service request management.

  • Acts as a resource and actively contributes to a collaborative team environment, working closely with other team members and administrators through, communication, teamwork, and cross-training.

Communication:

  • Demonstrated strong customer and interpersonal skills and a record of dealing effectively with conflict.

  • Demonstrated excellent verbal and written communication skills, including experience preparing correspondence, documents, procedures, presentations, and specialized reports with considerable responsibility for content while ensuring accuracy and attention to detail.

  • Ability to work with and properly protect sensitive information.

Leadership:

  • Proven competence in providing office management and advanced administrative leadership, including expert knowledge of Laboratory organizational structure and policies, practices, and procedures.

  • Fosters a mutually respectful and inclusive work environment that is free from discrimination and harassment.

  • Experience with leadership, including identifying opportunities for career development and professional growth, cross-training, and facilitating teamwork.

Desired Qualifications:

  • Knowledge of and demonstrated experience with standard office software (Microsoft Word, Excel, PowerPoint, Outlook) including use of Lab-wide systems (Oracle, Time, and Effort, Concur, Foreign Travel, FVTS, SharePoint or other databases).

  • Knowledge and understanding of LANL visitor programs, guest and fellowship programs and agreements, student internships, postdoc programs, and foreign visits and assignments.

  • Budget management and/or experience tracking funding commitments.

Education/Experience : Position requires a bachelor's degree and a minimum of 5 years of related experience; or an equivalent combination of education and experience directly related to the occupation.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 (https://www.directives.doe.gov/directives-documents/400-series/0472.2-BOrder-chg1-pgchg) for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the required period of continuous service, they may only apply for Laboratory jobs with the documented approval of their Division Leader.
