Description We are offering a contract to hire employment opportunity for a Service Department Operations Coordinator in Long Beach, California. This role falls within the administrative sector and involves providing operational support to the Service Department. The successful candidate will assist in creating scalable operational processes and workflows, and will work closely with other departments to ensure smooth operations.

Responsibilities:

• Ensuring Technician Workorders are closed and ready for billing within a specified time frame after job completion.

• Assisting with inventory, purchasing support, and material reconciliation, including transferring parts to various sites and verifying correct charges to dispatched work orders.

• Creating and maintaining documented workflows for all service and purchasing processes.

• Assisting with the creation of annual service department budget.

• Identifying jobs that do not meet profitability guidelines and reporting them to the Service Manager.

• Managing contracts with outside suppliers as needed.

• Handling scheduling for Technician Training and Safety Meetings and assisting with technician certification testing.

• Overseeing all regulatory reporting requirements.

• Providing overall department administrative support as a team member of the service department.

• Opening new clients, new client sites, and new jobs as required, ensuring data lines are correctly set up for all new pieces of equipment.

The role requires skills in Administrative Assistance, Audit - Operational, Monthly Reporting, Monthly Financial Reporting, Operational Reporting, Reporting, and Client Relations. Requirements • Proven experience as an administrative assistant or similar role for at least two years

• Strong knowledge of administrative assistance principles and practices

• Experience with operational auditing procedures and techniques

• Ability to create, analyze and maintain monthly reports

• Proficiency in monthly financial reporting, with a focus on accuracy and detail

• Understanding of operational reporting, including the ability to translate complex data into understandable reports

• Strong client relations skills, with a focus on customer service and conflict resolution

• Excellent organizational skills with the ability to prioritize tasks and work independently

• Proficiency in Microsoft Office Suite and other relevant software

• Excellent written and verbal communication skills

• High level of discretion and judgement

• Ability to work in a fast-paced environment and handle multiple tasks simultaneously

• High school diploma or equivalent; higher degree in a relevant discipline will be appreciated.
