Senior Executive Assistant

We are seeking an exceptional and talented individual to carry out the critical role of Executive Assistant to the Chief People Officer within a well-established, dynamic, global company. Your responsibilities will include providing comprehensive executive support to the CPO, supporting the CPO in the management of key stakeholder relationships, and facilitating the link between the CPO and all facets of the organization.

You will have outstanding interpersonal and communication skills to develop positive, productive work relationships, as well as the ability to maintain a high degree of confidentiality and act with tact and diplomacy at all levels. You will have the ability to make administrative and procedural decisions and have sound judgement on sensitive, confidential, urgent issues whilst working under minimal supervision and in a fast-paced environment. Outstanding organizational and time management skills, a methodical, efficient approach, and a real attention to detail are essential for this role. You will be a committed and enthusiastic member of the team with a flexible, can do attitude.

Responsibilities

  • Manage the CPO’s diary and schedule including:

  • Proactively identifying priorities, commitments and conflicts

  • Arranging internal and external meetings and coordinating logistics

  • Providing incidental personal support where needed.

  • Support the CPO’s regular (weekly) travel requirements in adherence to AVEVA travel procedures:

  • Develop itineraries

  • Arranging flights, hotels and transfers

  • Securing visa’s and ensuring travel documents are in place

  • Detailed tracking for tax and allowance purposes

  • Manage the CPO’s email inbox and correspondence including:

  • Maintaining high-level communications

  • Drafting correspondence

  • Proof-reading documents

  • Ensure the processing of CPO’s expenses is completed in a timely manner in accordance with AVEVA’s policies and procedures.

  • Provide strategic and administrative support to the CPO in the management of key relationships, in particular with the Board, HR Committee, Executive Team peers and other key stakeholders.

  • Provide ad-hoc support to senior members of the People Team, including support for travel and offsites.

  • Provide support for projects and events, liaising with internal and external stakeholders, events and communications teams.

  • Organisation and management of weekly People Leadership Team meetings. Providing monthly management reports to the Board and Executive Team.

  • Liaise effectively with AVEVA’s global team. Functioning as an interface between the CPO and AVEVA’s global staff.

  • Manage items requiring the CPO’s formal review and authorisation for both internal and external stakeholders.

Skills & Qualifications

  • Executive assistance skills at C-Suite level with experience working in a similar executive role at a similar level or relevant transferable experience.

  • Experience working in an HR environment and understanding of the sensitivity and confidentiality of HR topics.

  • Experience working in an international arena and ability to travel globally.

  • Excellent interpersonal, diplomacy and influencing skills.

  • Adopts proactive and pre-emptive approach to work

  • Ability to work autonomously

  • Demonstrates readiness to adapt to continuously changing priorities in a fast-paced environment.

  • Maintains composure under pressure.

  • Builds positive personal and organisational relationships.

  • Strong cultural awareness.

  • Advanced MS Office skills.

  • Fluency in English.
