Accounts Payable Manager

Overview:

As the Accounts Payable Manager, you will play a pivotal role in ensuring the smooth operation of our accounts payable processes while leading a dedicated team. Your responsibilities will encompass overseeing day-to-day operations, communicating effectively with stakeholders, managing month-end and year-end activities, and contributing to special projects aimed at enhancing efficiency and effectiveness within the department.

Key Responsibilities:

Day-to-Day Operations (55%):

  • Lead and support a team of Accounts Payable Associates through recruitment, coaching, and performance management.

  • Ensure the accurate and timely processing of invoices, resolving any discrepancies promptly.

  • Review payment runs and obtain approval from the Corporate Controller.

  • Develop and enforce guidelines for invoice handling and coding to maintain accurate general ledger and inventory records.

  • Maintain the pet partner master and oversee changes to payment terms.

  • Uphold controls and ensure segregation of duties in accordance with company policies.

Stakeholder Communication (25%):

  • Analyze and address outstanding issues, liaising with relevant stakeholders for resolution.

  • Investigate and resolve IT system issues affecting invoice processing.

  • Respond promptly to internal and external stakeholder inquiries and requests.

Month-end and Year-end Responsibilities (10%):

  • Ensure timely completion of accounts payable activities for month-end and year-end closures.

  • Coordinate with the accounting team to facilitate accurate financial reporting.

  • Manage 1099 reporting requirements and assist with audit requests.

Special Projects (10%):

  • Identify opportunities for process improvement and provide recommendations.

  • Collaborate on initiatives to automate invoice processing and payment methods.

  • Support leadership on various ad hoc projects as needed.

Requirements

Qualifications:

  • Bachelor's degree in Finance or Accounting.

  • CPA/MBA or progress towards completion is preferred.

  • 3-5 years of experience in accounts payable or related roles.

  • Demonstrated experience in team management and mentorship.

  • Familiarity with accounts payable concepts such as 3-way match and payment terms.

  • Knowledge of U.S. GAAP, internal controls, and segregation of duties.

  • Excellent verbal and written communication skills across all organizational levels.

  • Strong organizational and time management abilities with acute attention to detail.

  • Dedication to providing exceptional customer service.

  • Ability to foster cross-functional relationships to achieve common goals.
