Administrative Assistant Franciscan Sisters, Little Falls, MN, have an opening for a full-time administrative assistant. This position provides administrative support for the Franciscan Life Circle. The position is for 40 hours per week, Monday Friday, with occasional evenings and weekends. Position performs general administrative support functions including, but not limited to answering and directing telephone calls, greeting visitors, filing, photocopying, taking and distributing meetings minutes, coordinating travel arrangements, maintaining database records. Monitors chat and breakout rooms during Zoom calls for events and meetings. Expectations: 1. Knows and demonstrates the Franciscan employee values while performing all job functions. Demonstrates values with other staff, sisters, volunteers, clients, and visitors. 2. Demonstrates openness to learning Franciscan spirituality to better serve and support the work of FLC and FSLF. 3. Upholds and fulfills the mission and values of Franciscan Sisters of Little Falls in all areas of communications and public relations, whether written, spoken or observed. 4. Demonstrates a good sense of personal boundaries and respect of other s boundaries, maintaining confidentiality appropriately. 5. Able and willing to work in a mutual manner, contributing to a friendly collaborative atmosphere. 6. Works accurately with close attention to detail; prioritizes the workload independently, seeking clarification of priorities when needed from supervisor, with ability and willingness to be flexible. 7. Performs general administrative support functions including, but not limited to answering and directing telephone calls, greeting visitors, filing, photocopying, taking and distributing meeting minutes, tracking action items, and following up on deliverables, coordinating travel arrangements, ordering and tracking supplies, and maintaining database records. 8. Greets visitors to the FLC offices on campus and is the point of contact for attendees of online events. 9. Duplicates, assembles, and distributes resources, marketing and other, for Franciscan Life Circle internal and external events/programs, in collaboration with Communications Coordinator. 10. Performs administrative tasks for FLC events: a. Completes request forms for Hospitality and Environmental Services for Franciscan Life Circle events, including overnight retreats (private and group). b. Works with Volunteer Coordinator as needed. c. Works with coordinator of master campus calendar to book events. d. Tracks registration and follows through with participants for retreats, Franciscan Associate commitment days, FSLF Community Gatherings, Reflection days, Integral Ecology events, and other events. e. Promotes FLC programs and events by posting sign-up lists and other promotional materials both on and off campus. Posts internal notices as needed. f. Coordinates and performs set-up and take-down of events on campus. g. Operates computers, projectors, screens, audio/visual/sound equipment in support of Franciscan Life Circle programs and events. 11. Monitors chat and breakout rooms during Zoom calls for events and meetings. 12. Submits proper documentation to request checks, record donations, and other finance reports. 13. Creates, posts, and monitors internal communications (e.g., posting on bulletin boards in campus mailroom, sending emails to sisters and staff) to continually inform internal partners of the work of FLC. 14. Conducts research and creates resources, as discerned appropriate for the work of Franciscan Life Circle. 15. Due to scheduled program support, occasionally works on a weekend or an evening. 16. Performs other duties as assigned by supervisor.
