MIT Lincoln Laboratory Assistant Business Manager in Lexington, Massachusetts

The Human Health & Performance Systems Group develops human-centered technologies to overcome operational challenges and to enhance human capability in domains of interest to national security. Our research programs focus on innovative and objective solutions in the areas of integrated wearable systems, human-machine teaming, enhanced communications, neurocognitive analytics, and medical technologies. Our group is highly interdisciplinary and includes scientific experts in physiology, cognitive science, neuroscience, psychology, biomechanics, computer science, engineering, and physics. Our core technical competencies include system-level modeling and gap analysis, advanced sensing and signal processing, machine learning and artificial intelligence, computational modeling, hardware and software prototyping, model-based systems engineering, and human data collection in laboratory and field environments.

Job Description

The Assistant Business Manager will be a key member of the Human Health and Performance Systems team for financial and operations management. The candidate will work closely with the Group Business Manager performing business management activities for the group. Responsibilities include but are not limited to:

  • Demonstrate fundamental understanding of all of the various factors that contribute to cost and budgeting.

  • Assist in developing, analyzing, monitoring, and reporting the financial status of multiple programs, as well as preparing program specific budgets, spend plans, and custom sponsor reports.

  • Use SAP and other established templates to track costs and analyze trends while working closely with the Group Business Manager.

  • Process program closeouts by collecting documentation and information from the staff.

  • Obtain a thorough understanding of the procurement process resolving any issues that arise and ensuring all invoices are being paid in a timely manner.

  • Review open expenses on programs working with Group Administrative Assistant to resolve issues and return funding to program balance where applicable.

  • Review and approve support and subcontractor timesheets ensuring that the correct cost center codes are being utilized.

  • Assist Group Business Manager in the preparation and compilation of required documentation for potential new funding sources as needed.

  • Carry out special projects as required .

  • This position offers the flexibility of a hybrid schedule (potentially up to 40% or 2 days virtual) .

Requirements

  • AS degree in finance, business, accounting or other related field.

  • 1-3 years of related experience.

  • Organizational skills, experience in handling confidential and/or propriety Information in an appropriate manner, and the ability to work in a deadline sensitive environment.

  • Experience with Microsoft Office is required as is proficiency in advanced Excel functions.

  • Effective oral and written communication skills are required.

  • Familiarity with computer based financial tools and SAP is desired.
