MIT Lincoln Laboratory Administrative Coordinator in Lexington, Massachusetts

MIT Lincoln Laboratory is a federally-funded research and development center chartered to develop advanced technology in support of national security. Research and development activities focus on long-term technology development as well as rapid system prototyping and demonstration. The Laboratory works with government and industry to transition new concepts, technology and prototypes into future system development and deployment.

The Technology Ventures Office (TVO) provides strategic coordination for technology transfer activities at Lincoln Laboratory. The office serves to facilitate and oversee technology transfer to government and industry, foster collaborative research with the private sector, and manage the Laboratory’s Intellectual Property (IP) portfolio.

Job Description:

This position will provide senior level administrative support to the Laboratory’s Technology Ventures Office (TVO). The primary responsibilities are to manage complex office schedules and to prioritize time-critical matters. This role will be responsible for the coordination, planning and execution of high-level VIP meetings and engage with visitors. Will plan special events (onsite, offsite and virtual), arrange travel with Concur, process expense reports, and be a resource/support for all members of the office.

It will also include supporting special projects and initiating new projects including organizing databases and creating efficient filing and retrieval systems for materials across diverse topic categories. These tasks require a certain level of focus and review. Will assist the group with collecting, analyzing, and creating data reports, and will be expected to utilize all available Laboratory administrative procedures, resources, and services to accomplish tasks as needed.

Will order supplies, enter and track purchase orders via SRM, and make PCard purchases with budget authority limitations and use software to create official correspondence, briefings, spreadsheet, and PowerPoint presentations as required.

Requirements:

  • Bachelor’s degree in Communications, Business Administration, Human Resources, Behavioral Science or related discipline preferred

  • At least 5 years of directly related work experience; certain number of years of relevant experience may substitute for education

  • Strong computer skills - proficiency with Microsoft Office Suite (Word, Excel, PowerPoint and Outlook), collaboration platforms (Teams, Zoom), and electronic document management systems such as SharePoint and Confluence

  • Must possess strong administrative skills; self-confidence, attention to detail, mature judgment, cooperative and responsible attitude, and a conscientious and organized approach to work in a changing environment along with the ability to work effectively as part of a team

  • Must be able to apply critical thinking to generate solutions

  • Must be a self-starter and highly motivated

  • Must be able to prioritize multiple complex tasks seamlessly

  • Familiarity with Enterprise Resource Planning software (SAP/SRM, CRM, HCM) and receptive to learning new digital skills, including internally built web applications;

  • Demonstrated attention to detail and ability to balance priorities among multiple, complex, and concurrent tasks

  • Outstanding communication, interpersonal, and creative problem-solving skills

  • Prior experience in business practices or Entrepreneurship programs highly valued

  • U.S. Citizenship

  • Must be able to obtain and maintain a security clearance
