Children's Hospital Association Administrative Coordinator - Insurance Services in Lenexa, Kansas

Job Descriptions:

Where You’ll Work

This position is based in our Lenexa, Kansas office. We leverage a hybrid working model working three days in the office, two days optional remote work.

What You’ll DoThe Insurance Services Coordinator manages the administrative activities of the Insurance Services division. This includes acting as a communications liaison, ensuring timely and accurate information exchange, managing daily project activities, and preparing necessary documents.

  • Maintains Customer Relationship Management (CRM) system, including updating records, generating reports, and reconciling data.

  • Assists with onboarding new member hospitals

  • Monitors, requests, files, and archives Pharmacy Benefit Management (PBM) reports and updates plan changes and program adoption documents.

  • Organizes meetings, including scheduling, agenda preparation, minute-taking, and post-meeting updates.

  • Assists with commission backup retrieval and data, department expenses, audits, data entry, reporting, annual return, invoicing, research, and follow-up.

  • Maintains proper licensure for agency and agents. Assists with department insurance licensing renewals and appointment paperwork and maintains current renewal listing to ensure timely renewal of all licenses.

  • Manages operations of HR Benefits Forum meeting and coordinates the logistics for virtual and in-person meetings.

  • Assists in developing and managing surveys using Qualtrics.

  • Collaborates with Marketing & Communications to update marketing and website content

Required Experience:

What You’ll Bring to CHA

Any combination of education and experience providing the required skill and knowledge is qualifying.

  • High school diploma or equivalent required. Additional education via college coursework or business school preferred.

  • Minimum of 2 years’ administrative experience directly supporting a team

  • Knowledge of insurance Industry and/or employee benefits highly preferred

  • Knowledge of financial/accounting basics preferred

  • Excellent working knowledge of MC Office (must be adept in Excel), "live meeting" technology, Salesforce & FinancialForce, SharePoint, Teams, and Qualtrics.

  • Project coordination skills such as the ability to manage and organize project and meetings efficiently, excellent follow-through and excellent proofing.

  • Excellent grammar and proofreading skills

  • Excellent written and oral communication skills

  • Excellent organization skills; must be detail-oriented and thorough.

  • Ability to use discretion and maintain confidentiality

  • Ability to work effectively and professionally with all levels of employees, hospital personnel, and other external individuals.
