25% Technology

  • Support the Assistant Registrar by reviewing and monitoring OUR forms, workflows, and technical updates.

  • Assist in the maintenance of registrar.ku.edu by updating content to ensure alignment with university branding, best practices, and the OUR strategic plan.

  • Provide support in the design, development, and maintenance of high-quality online training videos in Canvas.

  • Conduct research to support website projects and objectives for the Assistant University Registrar.

25% Communications

  • Edit and revise monthly OUR communications as a final review in support of the Assistant University Registrar.

  • Collaborate with Student Lifecycle Technologies (SLT) to ensure accuracy of short course calendars prior to website production and publish final report online.

  • Coordinate the online publication of the university academic calendar on Localist, Canvas, and OUR website.

  • Regularly update and maintain all OUR email distribution groups in Microsoft Outlook and KU Groups.

25% Documentation

  • Responsible for creation and maintenance of clear and concise documentation for all OUR processes.

  • Review, critique, and edit documentation written by others.

  • Produce how-to documentation for students, faculty, and staff for OUR processes.

  • Annually review OUR policies for necessary revisions.

  • Support editorial catalog review.

20% National Student Clearinghouse Reporting (NSC)

  • Determine yearly calendar for submission of the NSC enrollment reporting to maintain compliance with the federal government and NSLDS in coordination with Assistant University Registrar.

  • Coordinate with stakeholders the submission of each NSC report, including running reports, updating records to ensure correct initial submission, and notifying stakeholders of any issues and provides resolutions.

  • Review and resolves submission errors as needed within the compliance best practice guidelines.

  • Analyze problems and issues and notifies Assistant University Registrar of reporting updates as necessary.

5% Other Duties

  • Other duties as assigned by supervisor.

Position Overview:

The Office of the University Registrar reports to the Vice Provost for Enrollment Management, which includes the following functional units: Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Lifecycle Technology, Enrollment Marketing and Communications, Office of Graduate Admissions, and the Office of the University Registrar.

The Office of the University Registrar (OUR) is responsible for catalog overview, course set-up, scheduling, room reservations, transfer credit & course equivalencies, student enrollment, tuition and fee assessment, production and maintenance of the academic record, including the official academic transcript, enrollment certification, graduation, and diploma production.

The Specialist for Office of the University Registrar Technology, Communications, and Clearinghouse will support the OUR by providing technical updates and revisions to forms, websites, and communications. The Specialist will be responsible for documenting OUR processes and procedures to ensure the accurate capture of all internal workflows. The Specialist oversees submission of data to the National Student Clearinghouse, utilizes a teamwork approach as lead certifying coordinator to ensure that the office is providing quality service while adhering to University policies and procedures. Assists the Assistant University Registrar in planning and monitoring improvements to the area.
