Job Summary:

As the Administrative Support Iassisting the Front Desk, you will play a crucial role in creating a positive and professional first impression of our organization. Your responsibilities will include coordinating and scheduling conference rooms, managing international calls, maintaining calendars, utilizing office equipment, transferring calls, and maintaining our website. The ideal candidate will possess exceptional organizational and communication skills, as well as proficiency in Microsoft Office.

Key Responsibilities:

  • Reception Duties:Greet and welcome visitors with a friendly demeanor, answer inquiries, and direct them to the appropriate person or department.

  • Conference Room Management:Coordinate and schedule conference rooms for meetings, ensuring they are set up and equipped with necessary materials.

  • International Calls:Handle international calls, connect them to the appropriate individuals, and provide assistance when necessary.

  • Calendar Management:Maintain and update calendars for executives and team members to ensure efficient scheduling.

  • Office Equipment:Operate and maintain various office equipment, including photocopiers, fax machines, and printers.

  • Phone Operations:Answer and manage the front desk phone system, transferring calls accurately and providing information as needed.

  • Microsoft Office:Utilize Microsoft Office applications, such as Word, Excel, and Outlook, to assist with various administrative tasks.

  • Website Maintenance:Update and maintain the organization's website with current information and announcements.

  • Administrative Support:Provide general administrative support to team members and executives as required.

Qualifications

Qualifications:

  • Must be a U.S. Citizen

  • Must participate in a Federal background investigation.

  • Required Onsite as key staff member M-F 8:00 AM- 4:30 PM

  • High school diploma or equivalent; additional education or certification in office administration is a plus.

  • Associates or Bachelor Degree preferred

  • Proven experience as a receptionist, secretary, or similar role with 3-to 5 years of experience.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Professional and friendly demeanor with a strong customer service orientation.

  • Ability to maintain confidentiality and handle sensitive information.

  • Familiarity with basic office equipment and procedures.

  • Basic knowledge of website maintenance and content management systems is a plus.
