Position Summary

The Assistant to the Executive Vice President (Assistant) will perform a variety of administrative functions, including managing the Executive Vice President’s calendar, scheduling meetings, appointments, travel arrangements and the day-to-day administrative operations. The Assistant will be incredibly organized, detail-oriented, and capable of managing multiple priorities. This position will involve communication with company employees and outside parties and will require the ability to develop and maintain productive working relationships. In addition, this individual will support the Sr. VP and Area General Manager with various administrative tasks.

Duties and Responsibilities

  • Proactive management of calendar, appointments, and meetings.

  • Maintain confidentiality while partnering effectively with peers and executives across all levels of the organization.

  • Manage Customer Engagement activities and keep full accounting of Customer attendees, PCA attendees and business purpose.

  • Organize and maintain correspondence and records; follow up on pending matters with limited or no direction.

  • Process expense reports, departmental invoices, and check request processing.

  • Handle distribution and maintain ticket usage report for the Accounting Dept.

  • Manage Yearly War College Event, communicate with War College Team and Staff Ride Attendees, to secure room reservations and limos and distribute reading materials and follow up on missing information from all attendees.

  • Scheduling and arranging all AGM meetings.

    Requirements

  • Education equivalent to an associate degree required; bachelor degree strongly preferred.

  • A minimum of five years’ work experience providing C-Suite level support. Experience working in a Sales & Marketing environment a plus.

  • High level of competence with Microsoft Office Suite – Word, Excel, Outlook. Knowledge of SharePoint.

  • Understanding of corporate guidelines and company organization and structure.

  • Ability to build relationships and work effectively in a team environment.

  • Ability to manage change.

  • Exhibit a professional and positive demeanor with a high degree of commitment.

  • Ability to work in a fast paced environment, prioritizing assignments, and handling multiple tasks simultaneously and independently.

  • Excellent communication skills and ability to interact effectively with all levels of the organization.

  • Strong work ethic and attention to detail.

  • Ability to work overtime as needed.

  • Ability to provide support for other departments where qualified and required.
