What you will do

Key Responsibilities

To support SG-MY Country Medical Lead

  • To operationalize Medical Education programs and other Medical Plans, e.g., Ad Boards, Sponsorships, Donations, etc (60%)

  • Liaise with vendors, manage the invoicing, the end-to-end compliance process including submissions to C3, and track payments to vendor

  • Manage travel/lodging and other logistic for speaker(s) execution of service agreement(s)

  • Support in-venue delegate registration of local symposium and other medical programs

  • Plan and execute logistics for internal and external meetings including scheduling, catering, receiving visitors, and A/V equipment needs

  • Process Medical-initiated sponsorships and donations

  • Manage monthly budget tracking - Liaise with Medical Advisors & MSLs to track and report on Medical Budget on a monthly basis

To support SEA Medical Director (25-30%)

  • To operationalize SEA Med Ed programs & Medical Plans (e.g., Steering committee mtgs). Responsibilities as described above.

  • Liaise with country medical leads to track and report on Medical Budget monthly basis

  • Support SEA Medical LT mtgs – agenda and mtg minute, SEA Medical team Mtgs – logistics of mtg venue & team travel etc

  • Manage calendar, travel arrangements & schedule meetings

Other (10-15%)

  • Assist managers with candidate scheduling as well as on/off boarding of staff

  • Register for conferences, congresses and seminars for medical team

  • Support Office Manager to manage Office reception

  • Serve as back-up for other Administrative Coordinators, if needed

  • Assist with special projects and other administrative roles as needed

What we expect of you

Basic Qualifications:

  • Associated degree and 2 years of administrative experience OR

  • High diploma/ and 4 years of administrative experience

Preferred Qualifications:

  • Bachelor’s degree and direct experience supporting an executive for a large corporation

  • 3+ years of Administrative experience

  • Ability to work in a fast-paced, deadline-driven environment

  • Ability to prioritize projects of greater urgency and importance

  • High attention to detail

  • Excellent written, verbal, and presentation skills in communicating key business

  • Excellent time management and project management skills

  • Proficient PC skills in MS Word, PowerPoint, Excel, database skills, SharePoint and advanced typing skills
