The Company 

Intellijoint Surgical develops effective and easy-to-use products to enhance surgeons’ care and patients’ lives. Today, Intellijoint technology lives in the operating room, helping surgeons improve implant positioning during hip and knee replacement surgeries. Our technology has been used in over 50,000 surgeries. Our Operations team is growing and we are seeking an Operations Coordinator to join our Operations team, helping to bring innovative technologies to the market.  

The Position 

Reporting to the Production Manager the Operations Coordinator has the skills and passion suited to a dynamic scaling environment. Working as part of the Operations team, the Operations Coordinator will assist with medical device sales support and daily order fulfillment.  

As a snapshot, we are looking for someone who: 

  • Keen attention to detail while working with a sense of urgency to meet customer requirements 

  • Ability to work independently, organize, plan and prioritize 

  • Continuous improvement mentality, shares ideas and embraces change 

  • Can do attitude where no task is too big or too small 

Main Duties: 

The position will consist of approximately 80% of your time primarily in a Sales Support role, and the remainder in the Operations support role 

Sales Support Duties (80%): 

  • Receive and process customer orders and respond to order inquires. 

  • Generate production orders based on customer job orders 

  • Input all incoming orders into database checking for discrepancies. Notifying customers of any discrepancies that there may be and ensuring that they are corrected. 

  • Co-ordinate shipment delivery schedules. 

  • Monitor order shipments via FedEx/DHL/UPS - Track packages until delivered and resolve any delays 

  • Perform related clerical duties, i.e. maintaining filing and record systems. 

  • Invoice for shipments as they occur. 

  • Generate reports for Operations KPI reviews 

  • Coordinate and process returns   

  • Contribute to continuous improvement initiatives within the Operations department 

Operations Support Duties (20%): 

  • Assist in receiving and inspection of incoming raw material 

  • Assist in managing product inventory and reconciling inventory transfers (e.g. incoming inspection, assembly, kitting, and finished goods fulfillment) 

  • Assist with routine cycle counts, and adjusting inventory discrepancies  

  • Assist with preparing bill of lading for outgoing shipments and custom documents 

  • Monitor on-going workflow to ensure timely delivery 

  • Monitor material transactions and resolve any discrepancies 

  • Accurately complete all documentation to support quality system records 

  • Support the maintenance of all material related records required to support ISO13485 Quality Management System 

Skills and Experience to Enable Success:  

  • College Diploma and/or University Degree with specific focus on sales, customer service, operations and/or logistics 

  • 2-4 years relevant experience in a regulated industry 

  • Strong customer focus and excellent customer service skills 

  • Strong database and word processing skills 

  • Experience in customer order processing  

  • Experience working in a medical device environment (ISO 13485, FDA QSR, EU MDD/MDR, etc.) is an asset 

  • Experience with logistics (shipping and tracking orders) 

  • Strong communication and inter-personal skills with extreme attention to detail 

  • Effective organizational skills with the ability to prioritize and meet timelines 

  • Continuous improvement mentality, shares ideas and embraces change 

  • Keen attention to detail while working with a sense of urgency to meet customer requirements
