ASM Global Assistant Box Office Manager/Capital Coordinator in Kissimmee, Florida

SUMMARY

ASM Global, the leader in privately managed public assembly facilities has an excellent and immediate opening for an Assistant Box Office Manager and Capital Coordinator. The primary responsibilities are assisting with box office management and handling all aspects of capital for Osceola Heritage Park.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist the Assistant Director of Ticketing Services with all box office functions.

  • Manage the box office when the Assistant Director of Ticketing Services is out and for smaller events.

  • Communicate effectively and positively with promoters, facility personnel, ticketing company, suite holders, and patrons as needed. Solve problems and provide excellent customer service.

  • Assist with building and modifying all ticketed events. Maintain accurate inventory of all tickets distributed and available for sale.

  • Monitor daily ticket sales for all upcoming events and communicate information to facility management and promoter as needed.

  • With the Assistant Director of Ticketing Services, manage box office cash, document all vault transactions, and make deposits.

  • Maintain files for each event including holds, comp tickets, audits, etc.

  • Assist with supervising the ticket sellers in accordance with venue’s human resource policies and applicable laws. Ensure proper cash management and PCI compliance rules are followed.

  • Sell tickets as needed.

  • Prepare and submit box office statements for settlements as needed and daily reports of business transactions to finance department.

  • Assist with the distribution of tickets to suite holders.

  • Assist the Assistant Director of Ticketing Services with management of Food & Beverage Vault upon request, assisting the vault clerks as needed.

  • Coordinate the budget requests for items to be purchased directly by the County including CIP, capital, and major building repairs.

  • Serve as liaison with Osceola County regarding capital and other major purchases. Ensure all related correspondence from the County is addressed, emails returned timely, answers provided, etc.

  • Assist the County with the purchase of all capital and major expenditures, following the County’s guidelines. Draft RFPs, write specifications, and gather quotes as appropriate.

  • Track the progress of all County purchases for OHP, notify the County and end users when items are received or if orders are delayed.

  • Establish & lead regular internal meetings with department heads and others as needed regarding the progress of capital purchases.

  • Attend quarterly meetings with the County regarding purchases. Prepare for the meetings, document the discussions, and follow up as needed.

  • Serve as internal custodian for capital items. Manage the annual capital inventory process, documenting the existence and location of every capital item. Oversee assistance from team members. Maintain capital inventory spreadsheets. Ensure new purchases are tagged. Manage the disposition of assets.

  • All other duties and responsibilities as assigned.

EDUCATION AND WORK EXPERIENCE

  • At least one year of box office experience with Ticketmaster is required.

  • At least one year of supervisory experience is preferred.

  • High School diploma or equivalent is required.

  • Associate degree or two years of related work experience is required.

    SKILLS AND ABILITIES

  • Knowledge of supervisory principles and practices.

  • Highly proficient in Ticketmaster software, Microsoft Excel, and Microsoft Word.

  • Excellent organizational skills and ability to document well, reconcile financial information and keep excellent records.

  • The ability to anticipate needed services, organize pertinent information and communicate effectively with everyone.

  • Ability to function both independently and as a team member.

  • A demonstrated ability to handle multiple priorities, solve problems and make decisions and work with minimum instruction or supervision.

  • Must have professional attitude, appearance, and personality.

  • Exceptional customer service skills.

  • Must communicate well in person, over phone, or with email with everyone.

  • Ability to communicate in Spanish is preferred.

    PHYSICAL DEMANDS

  • Position requires physical ability to move about large facilities, including being on feet and walking for prolonged periods, climbing stairs, bending, crouching, reaching, grabbing and/or standing up to and over 8-10 hours daily.

  • May be required to work both indoors and outdoors as required by the function.

  • Position requires ability to handle high noise levels during some events.

  • Position requires working extended hours, flexible hours including nights, weekends and holidays, based on event schedule.
