A.T. Still University ATSU - Admissions Application Coordinator in Kirksville, Missouri

Description

A.T. Still University (ATSU) is seeking a non-exempt Admissions Application Coordinator for the Kirksville, MO campus. This position reports to the Director - Admissions Processing and is responsible for application processing and customer service functions. The application coordinator processes applications for multiple programs on our Arizona and California campuses, application fees, daily mail, and other miscellaneous assignments. This applicant will spend significant time answering questions from applicants by phone and email and provide coverage for the Admissions Office as well as working with the program staff to audit files for accepted students in preparation for matriculation.

Major Job Duties

  • Process applications (direct or through national application services), letters of recommendation, test scores and other supplemental materials.

  • Answer phone calls/email from applicants regarding program/application requirements and status.

  • Distribute admissions@atsu.edu emails to appropriate staff.

  • Schedule interviews for applicants and assign faculty interviewer(s) for each interviewee in AMP.

  • Enter status changes for applicants and initiate appropriate decision letters in AMP.

  • Monitor acceptance payments and send reminders.

  • Update final decisions in WebAdmit through API.

  • Monitor competing offers in WebAdmit.

  • Determine if conditional accept/full accept and send out MOSDOH offers through AMP.

  • Prepare MOSDOH admissions committee reports for meetings.

  • Interviews: open dates on the calendar, follow up if applicants don’t schedule, send reminders, create interview day schedule, check with interviewers regarding evaluations not submitted.

  • Contact interviewers regarding availability and create schedules. Find replacements as needed.

  • Monitor incoming transcripts for missing prerequisites and send out conditional clearances.

  • Close out files at the end of the application cycle and process notifications.

  • Enter required information in Anthology/ImageNow for accepted students and audit files.

  • Update faculty biocards for Missouri campus interviewers.

  • Participate in university events as needed (orientation, graduation, etc.).

  • Assist with additional duties as assigned.

Education/Experience

  • 4-year degree preferred.

  • Computers, public relations, typing, data entry, office organization, time management, etiquette, appropriate communication skills, acceptance of diversity, creative thinker, problem solver, pro-active under stress.

  • Appropriate grammar, written and verbal communication skills, and letter construction.

  • Processing skills are trainable, public relations skills are necessary prior to starting.

  • Previous office experience to include: data entry, computer work, customer relations/public relations, time management, crisis management, and exposure to different cultures/diversity.

  • Public relations, organization, confidentiality, computer knowledge, typing, time management, and prioritizing tasks.

  • Appropriate office etiquette, positive outlook, dependable, punctual, creative, and common sense skills.

  • Confidentiality on all application materials (grades, test scores, references, evaluations).

  • Must be an active listener to applicant questions and a quick learner.

Other Information

  • The person in this position, in many cases, is the first impression of the university. Stability and a positive attitude are necessary due to the personal contacts made with applicants, the ability to answer questions accurately on all university programs or refer to the appropriate person/department, and the training time required to educate a secretary on the entire recruitment and application process.
