JOB REQUIREMENTS: Receptionist/Screener - WHEAP (Wisconsin Home Energy Assistance Program) - RECEP001964 DESCRIPTION/RESPONSIBILITIES: WHEAP Reception /Screener Job Responsibilities: * Answer multi-line phone system and relay calls to the appropriate party, schedule appointments for program applicants/participants to meet with staff members and/or provide direction to appropriate partner agency staff or other community resources in a professional manner. * Responsible for updating/organizing all program documents and outreach materials such as intake files, confidential documents, uploads documents into the system. This includes translating documents. * Assess client\'s immediate needs, and direct applicants to appropriate services and/or programs. * Assists in the preparation of staff meetings, outreach events, and other related meetings. * Open, sort, and distribute incoming correspondence, including faxes and email. * Receives visitors and program applicants/participants in a customer-oriented manner, gives program information to callers and visitors and directs to appropriate staff member. * Maintains supplies and inventory by checking stock to determine inventory level, anticipating needed supplies, submitting orders to the manager or supervisor in a timely manner and verifying receipt of supplies ordered. * Assists in coordination of planned activities, workshops, conferences, travel arrangements, venue arrangements. * Provide technical assistance, training and support to new staff as needed. * Attend meetings, conferences, workshops, and performs special projects and other related duties as assigned. Demonstrated ability either through education and/or experience, knowledge of corporate office protocol, and customer service-oriented practices and procedures. * Bilingual Spanish/English (or Rohingya, Burmese or/or Arabic) PREFERRED. * Demonstrated ability to speak clearly, pleasantly, and courteously, and must possess good listening/comprehension skills. * Must possess good organizational skills and have the ability to retain program facts and share them with visitors and applicants for services. * Proficient in Microsoft Office Suite, with demonstrated ability to type a minimum of 50 words per minute. * Must have reliable transportation, a valid Wisconsin driver\'s license, adequate vehicle insurance and be able to travel within the state of Wisconsin.
