Summary

The Cash Application Specialist will be responsible for recording payments from the lockbox, ACH, and wire transfer to customer accounts. The position requires the ability to potentially work with multiple lockboxes that are tied to specific customer portfolios. Daily work volume is directly related to daily deposit volume that can fluctuate from day to day. The individual will be expected to be a self-starter, driven for accuracy and able to work effectively with the Credit and Collections team and leadership.

Essential Duties and Responsibilities

  • Monitor bank accounts for deposits and ensure all deposits are recorded timely and accurately.

  • Complete daily, weekly, and monthly reporting duties.

  • Maintain adequate electronic data files related to cash application for auditing and research purposes.

  • Assist Cash Application and Collection team to resolve problems and questions for customers.

  • Escalate NSF and unapplied cash items to Collections Supervisor and AR Analyst.

  • Support internal/external customers by providing feedback timely.

  • Ability to potentially work within multiple ERP systems.

  • Additional special projects as requested.

  • Strong sense of time management.

  • Ability to effectively present information and communicate to internal and external customers.

  • Be an effective problem solver when presented with variables in standardized situations.

  • Ability to cross-train on related Cash Application functions within a teamwork-oriented environment.

  • Must work effectively with other internal departments to ensure cash transactions are balanced and accurate.

  • Ability to comprehend and follow departmental policies and procedures.

Required Skills and Qualifications

  • High School Degree in related field or equivalent experience.

  • 3+ years of business-to-business cash application experience in a large corporate environment, preferably in manufacturing or distribution industries, service, and project installation.

  • Previous Shared Service Center experience a plus.

Preferred Skills and Qualifications

  • Business-to-business cash application experience in a large corporate environment.

  • Experience operating within multiple programs, software, and ERPs daily.

  • Excellent communication skills, both verbal and written, across multiple functions and branch network.

  • Strong general knowledge of accounts receivable processes, with an expertise in cash application.

  • Ability to multitask in a high-volume transactional environment.

  • Proficient in 10-key data entry.

  • Strong knowledge of Microsoft Excel including VLOOKUP formulas and pivot tables.

  • Ability to successfully operate in a teamwork-oriented, metric-based environment.

  • Effective leadership skills, research capabilities, innovative to resolve unapplied cash.

  • Ability to develop direct reports and build a highly motivated, engaged team.

  • Ability to create and implement standard operating procedures to drive SOX compliance.

Working Conditions

The position location will be in the CTOS Front Street office during regular business hours. Occasional overtime may be required to complete tasks or meet with leadership staff.

Physical Requirements

  • Required to sit for lengthy periods of time. The employee frequently is required to walk, climb stairs; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.

  • The employee will regularly be using a computer and monitor, and occasionally lift or move up to 15 pounds.

  • Ability to work as scheduled, Monday – Friday plus any additional hours necessary to meet business demands.
