Summary: We are seeking a detail-oriented and organized Data Entry Administrative Assistant to join our team. The ideal candidate will be responsible for accurately inputting, updating, and maintaining various types of data into our systems and databases. This role requires strong attention to detail, excellent time management skills, and the ability to work efficiently in a fast-paced environment. The Data Entry Administrative Assistant will collaborate closely with other team members to ensure the accuracy and integrity of our data.

Responsibilities

Essential Job Functions: Perform data entry tasks with high accuracy and efficiency.

  • Input, update, and maintain data in databases, spreadsheets, and other digital platforms.
  • Verify the accuracy of data entered and make corrections as needed.
  • Organize and maintain physical and digital filing systems for easy retrieval of information.
  • Handle confidential information with discretion and maintain data security protocols.
  • Collaborate with team members to ensure data consistency and accuracy across systems.
  • Communicate effectively with colleagues to clarify data discrepancies or inconsistencies.
  • Provide daily correspondence tracking, including security clearances, telephone lists, appointment scheduling, and other correspondence filing and tracking and action file follow-up.
  • Provide daily tracking and administrative support for all personnel's time and accounting in Deltek Enterprise Portal Maintain files and records so they remain updated and easily accessible Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
  • Answer the phone to take messages or redirect calls to appropriate colleagues Utilize office equipment such as photocopiers, printers, etc., and computers for word processing, spreadsheet creation, etc.
  • Undertake basic bookkeeping tasks and process invoices, vouchers, etc. Take minutes of meetings and dictations Assist in office management and organization procedures Monitor stocks of office supplies (paper clips, stationery, etc.) and report when there are shortages
  • Assist in making travel arrangements and booking venues for conferences and events
  • Perform other office duties as assigned

Qualifications

Necessary Skills and Knowledge:

  • Proficient in Microsoft Office Suite, including Excel, MS Word, and PowerPoint
  • Excellent typing skills and attention to detail with a high level of accuracy
  • Strong organizational and time management skills with the ability to prioritize tasks effectively
  • Ability to work independently with minimal supervision and as part of a team
  • Possess excellent oral, written, and interpersonal communication skills
  • Must be a self-starter, disciplined, and able to work without direction
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Familiarity with basic office equipment such as printers, copiers, and scanners.
  • Adaptability and willingness to learn new tools and technologies as needed.

Minimum Qualifications:

  • High school diploma or equivalent
  • Minimum 1 year of relevant experience
  • Pass an employer background check
