LabConnect, LLC Sr. Manager, Vendor Quotes & Contracts in Johnson City, Tennessee

Job Summary The Sr. Manager, Vendor Quotes and Contracts will be responsible for supporting the company’s overall vendor quoting and contracts strategy and interactions. This role will be responsible for “end to end” vendor quotes and contract management as described below. Essential Duties and Other Responsibilities  Work with internal stakeholders including, and not limited to, the Senior Director of Laboratory Vendor Management, appropriate parties in the departments of Finance, Proposals, Project Analysts, Project Management and other key stakeholders.  Perform all pre-contractual relationship activities, including development of contract performance standards and associated penalties and all onboarding activities  Maintain ongoing monitoring, oversight and performance analysis, including identifying, and assisting in rectifying, any vendor performance issues or productivity enhancements.  Serve as a primary subject matter expert within the Vendor Management group for each vendor contract to ensure optimal contract management and outcomes.  Act as a point of communication and coordination with all vendors and internal business units for all issues related to vendor quotes and contracts.  Actively participate in all related Process Improvement meetings, Policy meetings, Business Reviews.  Work with key vendors, utilizing negotiation skills, commercial awareness, and the ability to see the bigger picture.  Report current status and potential issues/concerns to the Senior Director related to contracts and change orders and offer solutions.  Possess a detailed knowledge of LabConnect’s costing tools, client budget grids, and any tools and templates developed within the Contract Services Group.  Understand reasons and challenge supporting information provided by the project team related to budget changes (timeline, specifications, tasks, hours, etc.) to ensure that the budget changes are reasonable and justified.  Recognize when vendor questions/comments need required input and review by Legal and/or operations/senior management.  Understand and interpret legal language contained in a MSA, Letters of Intent, Start-up Agreements and standalone contracts.  Provide comprehensive QC review of vendor quotes, client budgets, and invoices to identify potential issues/concerns and to ensure high quality and accuracy (error free) prior to client submission.  Support team in managing and prioritizing workload in relation to business needs, timelines and vendor quote submissions with consistent accuracy and speed.  Ensures direct reports update Salesforce in a timely and consistent manner with concise, accurate information on the status of the contract or change order.  Ability to innovate, able to identify, escalate and implement solutions to create efficiency, increase vendor satisfaction and/or improve employee engagement.  On a project basis, set the parameters for, and lead the progress of, the vendor quoting process across a region of countries, coordinating the work of Vendor Sourcing Specialists and Leads.  Serve as point of escalation for vendors that are unresponsive or slow to negotiate and use your industry knowledge to expedite the process.  Monitor and assist with the delivery of all study CTAs to achieve outputs according to delivery timelines and standards detailed with Sponsor.  Offer solutions to problems and be prepared to carry out the solution. Offer a balanced, comprehensive view that incorporates all the immediate decision-making factors and a longterm view toward downstream implications.  Take a strategic approach to vendor relationships. Identify and drive change to improve performance and efficiency.  Support team in leading discussion and negotiation with LabConnect Contracts team to determine the appropriate terms and conditions to be included in the contracts (inclusive of Letter of Intents and Start-up Agreements) and change orders.  Support team in leading discussion and negotiation with vendors related to the contractual documents (Letters of Intent, Start-up Agreements, standalone contracts) and project budgets and quotes.  Organize, lead, chair, and manage internal meetings and/or vendor related meetings pertaining to all aspects of the vendor relationship, including quotes, invoices and contracts.  Liaise with their Director on any issues that need to be escalated within LabConnect or the vendor. Process Improvement:  As a Senior Manager, the employee is expected to recognize the importance of and create a culture of process improvement with a focus on streamlining our processes adding value to our business and meeting client needs.  Provide recommendations related to process improvements.  Identify and lead taskforce initiatives. Training:  Provide recommendations related to training for the Department and the company as a whole.  Provide mentoring, training, and development of direct reports on an ongoing basis and provide the necessary feedback to the Senior Director.  Proactively identify areas or skills of direct reports that need to be further developed in the professional growth of the person. Education/Experience Requirements and Required Skills:  Bachelor’s degree in Life Sciences or related field, from a four-year college or university.  5+ years of central lab vendor quotes and contract management experience.  Experience with process and performance improvement.  Excellent organizational, prioritizing, and project management skills; ability to manage multiple/complex projects.  Effectively translate a high-level strategy into actionable targets and taking an active role in execution.  Exceptional attention to detail. Character Must be highly ethical, committed to LabConnect’s success and providing excellent work, proactive, a team player, able to build healthy relationships with all internal and external stakeholders and able to work in a highly demanding, fast pace and changing environment. Language Ability Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Math Ability Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Reasoning Ability Ability to see how these responsibilities fit into the bigger picture and apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve practical problems and deal with a variety of variables in standardized situations where only limited standardization exists. Computer Skills Must have a working knowledge of Microsoft Office applications including MS Word, Excel, PowerPoint, Access and Outlook. Must be willing and able to learn additional software programs, including Salesforce, as required for the position. Supervisory Responsibilities Will supervisor a team of leads and specialists in daily roles and responsibilities. Work Environment The noise level in the work environment is moderate. Travel Travel will be approximately 10% domestic and/or international. Physical Demands While performing the duties of this job, the employee is regularly required to sit. The employee is frequently required to talk or listen. The employee is occasionally required to stand, walk and reach with hands and arms.
