Job Position: Lead – Mail Dispatcher

Reports to: Insert Operations Manager

Department: Inserting

Classification: Nonexempt

Job Summary:

Under general direction, is responsible for mail dispatch and divert checking areas. Interfaces with postal personnel professionally and with diplomacy. Keeps accurate and complete records of all mail processed through the department. Ensures employees are trained and understands expectations with the areas. Responsible for scheduling trucks with USPS, Pitney Bowes, and 3rd party courier company. Works beyond scheduled hours when required. Maintains good attendance and sets an example for peers.

  • Assigns Tasks and Projects

  • Assigns employees to production and monitors production.

  • Ensures and oversees the maintenance of equipment.

  • Customarily and regularly directs two or more employees.

  • Customarily and regularly exercises discretionary power.

  • Will comply with all current and future security and compliance requirements.

  • Some General Duties/Responsibilities:

  • Coordinate and assist loading and unloading company vehicles and contracted vehicles using various equipment.

  • Stage and coordinate prepared mail for daily dispatch.

  • Responsible for the organization of staged mail for postal verification.

  • Interacts with operations manager requesting direction when needed.

  • Responsible for neat and accurate record keeping.

  • Enter data in a timely and efficient manner.

  • Manage time wisely (dictated by scheduled dispatch times)

  • Will comply with all current and future security and compliance requirements.

  • Successfully performs the 660-mail function.

  • Requires ability to stand for long periods.

  • Responsible for maintenance of equipment within mail dispatch.

  • Monitors employee production standards and assists in training as needed.

  • Recommends employees for advancement and cross-training.

  • Having flexible hours to back up other employees on different shifts.

  • Any tasks assigned by management.

  • Responsible for Personnel in Department

  • Maintain quality standards of staff by closely monitoring their performance.

  • Mediate conflicts in a professional manner and within PCI guidelines.

  • Report any violations of PCI Policy as set forth in PCI guidebook.

  • Staff Evaluation

  • Participates in performance evaluation with management.

  • Make recommendations for hiring and termination.

  • Recommends additional training when required.

Education/Experience:

  • At least two years’ experience supervising in - related industry.

  • Computer literate

  • HS Diploma or equivalent

  • The ability to set up and operate folders and other bindery equipment is preferred.

Knowledge and Skills:

  • Knowledge of shipping requirements and their specifications

  • Read and write English.

Physical Requirements: Ability to lift heavy postal trays, up to and including 40 lbs., as well as the ability to load pallets into trucks in a timely fashion with minimal mistakes. Must be able to stand for long periods of time, bending at the waist and knees.
