Position Description

Primary Purpose:

This position supports the department in a variety of areas including high-level administrative assistance to the department vice presidents, and directors, all in a prompt and efficient manger while maintaining a high level of accuracy.

Essential Responsibilities: Office administration:

  • Office operations: opening/closing of office, engage landlord for facility needs, supply procurement, manage inbound/outbound mail and deliveries

  • Hospitality: welcome and engage guests

  • Safety: facilitate/maintain office safety protocols and procedures

  • Staff support: Coordinate travel and expenses

Employee Support: New Employee Setup

  • Workspace: nameplate, computer, phone, parking registration, etc

  • Welcome: tours, Day 1 / Week 1 introductions

  • Logistics & support for events such as town halls, employee recognition, team building, etc.

Employee Departure

  • Collect company assets and redistribute

Commercial & Customer Service:

  • Field inbound phone calls and route to appropriate contacts

  • Salesforce database clean up

  • Distribute physical customer invoices

    Position Requirements

Minimum Requirements:

Education:

High school diploma or equivalent, or technical certificate

Experience/specific knowledge:

3-5 years of experience in a highly functioning administrative role

Certification, licenses, registrations: N/A

Competencies, Skills, and Abilities:

  • Intermediate level of proficiency with Microsoft applications (including but not limited to Outlook, Word, Excel, PowerPoint) for the purpose of word processing, presentations, spreadsheets and information retrieval.

  • Strong reading, listening, administrative skills and logical thought processes with the ability to identify and resolve simple to complex issues/problems

  • Ability to organize and prioritize data and daily work, professionally seeing such to completion

  • Proven communication, oral and written, with ability to communicate with a variety of individuals and personalities at all levels internally and outside the organization

  • Must possess and regularly demonstrate excellent communication skills, verbal and written.

    Preferred education, experience, skills, and responsibilities:

  • Two (2) year degree in business related discipline preferred

  • Office management skills are a plus.
