Position Overview

The Medical Records Clerk serves as the first contact Aveanna EMS Division locations. This position is responsible for managing incoming calls and providing excellent customer service to all visitors. The Medical Records Clerk works with assigned patient care teams to expedite the entry of patient documentation and alert representatives to updates, understanding the urgency of various requests. Additionally, the Medical Records Clerk maintains patient files, distributes incoming faxes, and organizes incoming/outgoing mail for delivery.

The starting pay for our Medical Records team is $16.00 per hour, with a $250 weekly stipend for additional in-office duties. Essential Job Functions

• Send out company correspondence as assigned by the Director of Patient Care

• Routinely updates company phone directory

• Manage faxes as they come in; entering them into Brightree system and forwarding information to correct team

• Create new patient files for patients in all locations

• Match patient delivery tickets with eligibility forms

• Maintains all patient files; ensuring all delivery tickets, claims and patient paperwork are filed in the correct patient file

• Mail any off-cycle deliveries that can go regular mail as directed Distribution

• Mail all company correspondence; track all postage used via postage log

• Perform other administrative tasks as needed

• Support the Aveanna mission and culture by demonstrating our core values; compassion, team integrity, accountability, trust, innovation compliance and fun.

• Adhere to the Aveanna Compliance Program, including following all regulatory, Aveanna and accrediting agency policy requirements.

• Maintain the skills and qualifications necessary to provide or support quality care, including attendance at company-wide educational programs.

• Responsible for harmonious interactions with coworkers and customers, including patients, medical office staff, vendors and the general public.

Additional responsibilities of this position may include;

  • Physical presence at an AMS Office Monday through Friday during core business hours; responsible for ensuring the office is open during posted hours in compliance with regulatory requirements

  • Maintain a copy of the ACHC Manual and the Medicare Manual in the office

  • Ensure that there are new patient packets available for Sales staff

  • Keep a log of annual fire drills, emergency drills, and disaster drills

  • Ensure On call calendar is present and available for review

  • Incident Reports and OSHA300 logs are present and available for review

  • Record temperature checks of formula storage room and ensure there is no expired formula on the shelves

  • Maintain clean/ Dirty equipment areas

  • Maintaining a safe and clean office environment, reporting any maintenance concerns to the local landlord and/or AMS Facilities team as directed

  • Oversight of minimal inventory and equipment including receiving and stocking inventory as well as communicating when inventory levels are low, ensuring no product is stored on the floor

  • Assist with office site visits and audits as necessary by the State Regulatory Board and/or any government agency

  • Ensure office hours are posted and maintained

  • Visitor sign in sheets are present and maintained

  • Ensure all Federal and State poster are in a prominent location

  • Ensure State license is current and properly displayed

  • Ensure Handwashing signs are posted in bathrooms and lunchrooms

  • Ensure Fire extinguisher tag is up to date with monthly inspection

Requirements

• High school diploma or GED required

Preferences

• Previous medical office, medical insurance authorization and/or billing experience preferred

Other Skills/Abilities

• Proficient in Microsoft suite of products including Outlook, Word and Excel

• Must be able to adhere to confidentiality standards and professional boundaries at all times

• Ability to comfortably work in homes of families with limited resources

• Must possess a strong sense of urgency and attention to detail

• Excellent communication skills both written and verbal

• Proven ability to manage in a high call volume environment with accuracy and efficiency

• Proven ability to work independently at times and within a team

• Demonstrated ability to prioritize multiple tasks to meet deadlines

• Demonstrated ability to interact in a collaborative manner with other departments and teams
