Administrative Assistant

Magnolia Health Systems Corporate Office is seeking an Administrative Assistant to become a part of our team where our primary goal is to provide exceptional support to our facilities, employees, and residents.  For this role, Magnolia Health Systems is looking for a conceptual thinker who possesses outstanding organizational and time management skills. The ideal candidate must be reliable, adept at accurately following instructions, and capable of multitasking and thriving in a fast-paced environment.

About the Role: Magnolia Health Systems is seeking an Administrative Assistant to

  • Greet visitors

  • Receive and re-direct all incoming phone calls. 

  • Sort all incoming business mail and direct to appropriate office/mailbox.

  • Assist the Human Resources Department with administrative tasks within the Corporate Office, as needed.

  • Assist with order entry and data entry tasks to ensure accurate record keeping

  • Type and proofread documents, reports, and other materials as needed

  • Assist with event planning and coordination, including scheduling meetings and arranging logistics

  • Provide excellent customer support by addressing inquiries and resolving issues in a timely manner

  • Maintain office supplies inventory and place orders as necessary

  • Assist with basic bookkeeping tasks, such as invoicing and accounts payable/receivable

  • Perform computerized tasks using various software programs, including Microsoft Office Suit

    Required Skills and Abilities:

  • Must possess good computer skills, including knowledge with Microsoft Suite.

  • Must have good time management and organizational skills.

  • Must have strong ethics and reliability.

  • Must possess the ability to demonstrate good conflict management and decision-making skills.

  • Must be self-motivated, possess good problem-solving skills and be ready and willing to learn and adapt to changes.
