Description

We are in search of a meticulous and self-motivated Accounts Payable Specialist to join our team in Indianapolis, Indiana. The successful candidate will play a pivotal role in enhancing our financial operations by assisting in the development of Accounts Payable Standard Operating Procedures, reconciling company expenditures, and managing petty cash transactions, among other responsibilities.

Responsibilities:

• Assist in formulating Accounts Payable Standard Operating Procedures to streamline operations and ensure operational consistency.

• Verify and process invoices, expense reports, and payment requests promptly, adhering to company policies and procedures.

• Conduct regular monitoring and reconciliation of company expenditures to ensure accuracy and compliance with budgetary guidelines.

• Review agreements with vendors and service providers to ascertain conditions, pricing, and payment terms.

• Prepare and distribute 1099 forms for independent contractors and vendors, ensuring compliance with IRS regulations.

• Maintain precise records of accounts payable transactions, conducting research and reconciling discrepancies as necessary.

• Collaborate with internal departments and external vendors to resolve payment issues and inquiries.

• Assist in month-end closing activities, including accruals, bank reconciliations, and reconciliation of accounts payable balances.

• Oversee petty cash transactions including disbursements, reconciliations, and replenishments, ensuring compliance with company policies and procedures.

• Provide guidance and training to internal teams regarding accounts payable processes, policies, and best practices to promote efficiency and accuracy.

• Coordinate with on-property leaders to receive invoices daily, ensuring all invoices include accurate coding information.

• Post weekly and monthly journal entries to reflect payable transactions in the general ledger accurately.

• Process new vendor setup requests and verify proper documentation has been received.

• Provide supporting documentation, explain AP processes, and participate in audit inquiries to assist with internal and external audits.

• Maintain accurate historical records and ensure that all financial transactions comply with federal, state, and local legal requirements.

Requirements • Proficiency in Account Reconciliation to ensure accurate financial records

• Experience in Invoice Processing to manage and track payments effectively

• Proficiency in Microsoft Excel to handle data analysis and reporting

• Familiarity with Oracle for database management

• Knowledge of QuickBooks for managing sales and expenses

• SAP skills for efficient business process management

• Ability to maintain confidentiality and exercise discretion is necessary

• Strong organizational skills and attention to detail

• Excellent communication skills both written and verbal

• Ability to work in a fast-paced environment and meet deadlines

• Proven track record of reliability and responsibility

• Strong problem-solving skills to resolve any discrepancies or issues

• Ability to work independently and as part of a team.
