This position provides a wide variety of administrative & functional support for management committee meetings, Bank-wide projects, strategic planning, technology roadmap & other areas as requested. Serves as staff to the Information Technology Governance Committee, including preparing meeting materials, tracking follow-up items & maintain logs & trackers. Assists with project documentation & other tasks for Bank-wide projects as assigned. Must be flexible with the ability to multi-task on competing priorities, while maintaining attention to detail & meeting established deadlines. Other duties supporting HQ5 Operations, Facilities & Corporate Security initiatives & projects may be assigned. ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES: Provides assistance for corporate meetings? including preparing agendas, gathering, preparing & distributing materials. Supports functional aspects of meetings. Works as part of a team, providing support for special nonrecurring & ongoing projects for projects managed by others. Assists preparation & drafting of status updates & other reports for special projects as assigned. Assists with taking minutes & tracking follow-up items for project teams as assigned. May include coordinating multiple cross-functional tasks & disseminating information. Proofreads copy for spelling, grammar, & layout, making appropriate changes. Responsible for accuracy & clarity of final copy, along with ensuring satisfactory appearance of final materials for presentation to senior management & others. Assists with research projects, analysis & preparation of presentations & reports as requested. Serves as system & user administration for applications as requested. Drafts presentations Provides back-up assistance & support for other department functions as requested. Performs other tasks as assigned. EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position) Bachelor?s degree or equivalent experience required. Master?s degree in business or related field a plus. KNOWLEDGE, SKILLS & ABILITIES: Prior administrative support &/or project support experience highly desired. Proven self-starter with ability to complete tasks independently. Proven ability to work collaboratively as part of a team in a deadline driven environment. Strong knowledge of MS Office 365 products & the proven ability to quickly learn new software & applications. Ability to prioritize workload & multi-task while maintaining attention to detail & seeing tasks & projects through to their completion. Strong organizational skills. Exceptional interpersonal skills, positive attitude, sense of humor & team mentality. Ability to demonstrate creativity, innovation, & sound business judgement. Excellent written & verbal communication skills. Ability to handle sensitive information & maintain confidential material. Project management knowledge a plus.
