Special Education Clerk

The Special Education Clerk will provide clerical support to the Special Education Department by assisting the Special Education Staff and Leadership Team with functional processes, and maintain efficient, effective data collection for required state and federal reports. The special education clerk will also maintain accurate Special Education PEIMS data and maintain Special Education student records in accordance with state and federal requirements.

Responsibilities

  • Maintain confidentiality of student information.

  • Prepare correspondence, data records, forms, reports, etc. for the director and other department staff members

  • Assist in verification of PEIMS data.

  • Maintain inventory for tracking department inventory and fixed assets (computers, instructional programs, testing materials etc.)

  • Coordinate with the Director for the destruction of records as appropriate

  • Operate and maintain student files with the district's online data terminal

  • Operate and maintain IEP at a Glance for Network

  • Secure and process incoming and outgoing request for records to/from other districts on the Texas Records Exchange, (TREx), a web-based software application for exchange of electronically student records and requests

  • Prepare correspondence requesting records for students new to the district

  • Request reports from information systems to meet reporting needs

  • Compile weekly compliance reports for director

  • Assist in the filing of all correspondences, records, reports, student eligibility folders and Special Education Department forms and other department data.

  • Schedule accurate meetings with appropriate agencies to attend scheduled ARD meetings to include parents/families/guardians and staff.

  • Send out notices as appropriate and within required timelines for compliance

  • Perform other functions that may be assigned by the Administration and/or supervisor

Qualifications

  • High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.

  • 1 year of general work-related experience with Special Education Program Management (SuccessEd, EasyIEP, ESped)

  • Special Education related work experience preferred
