Jennie Stuart Medical Center, Inc. Patient Access Scheduler-Full Time in Hopkinsville, Kentucky

Answers all inbound telephone calls in a professional “Customer Friendly”, timely, and efficiently manner. Identifies self to the caller. Works diligently with the referring physician, staff and the patient to schedule the procedure as expeditiously as possible.

Presents neat appearance in proper attire as required by policy. Wears at all times JSMC ID Badge. Identifies self to the customer and provides information regarding procedure. Implements AIDET for each patient or customer encounter; Acknowledges the customer, Introduces self, provides time expectation, full explanation of procedure and process, thanks the customer for choosing Diagnostic Imaging Services.

Competently schedules for all Diagnostic Imaging Modalities at both the hospital as well as the Diagnostic / Medical Imaging Center. Ensures that all required / pertinent patient information is obtained; patient name, DOB, current address, current phone number, Insurance type, diagnosis and ordering physician. Request a copy of the patient orders as well as a copy of the patient’s insurance card (front and back) from the referring physician’s office. Verifies with the physician’s office if the patient was involved in a MVA or a Workman’s Comp Claim. Injury date, claim number, agent’s name & phone number are always obtained when scheduling procedures ordered as a result of a MVP(motor vehicle accident) or WC (workman’s comp) claim.

Ensures that the pre-certification is obtained from the referring physician’s office for any procedure requiring pre-certification and recorded within the RIS prior to the scheduled appointment.

Reviews all outpatient requisition orders, any pertinent information, verifies scheduled procedure before placing order on file in McKesson Resource Scheduling, and files in the appropriate area. Consults with the technologist, radiologist or attending physician if further order clarification is needed.

Demonstrates competency with the McKesson Radiology Management and Resource Scheduling. Meticulously schedules procedure in Resource Scheduling and ensures all required information is obtained.

Communicates with the technologist / modalities / and radiologist in a timely manner about add-on procedures.

Complies with HIPAA, protecting patient privacy at all times.

Demonstrates competency / cross – trained in patient registration and order entry. Fills in as needed in these capacities. Possesses the ability with all File Room Processes, CD Burning, Hard Copying; etc.

During Computer “Downtime” assures that the proper “Downtime” procedures and processes are carried out.

Reviews the PCA (Pathways Compliance Advisor Software Program) to determine if diagnosis for the imaging study is appropriately covered by the patient’s insurance. Notifies the referring physician’s office of non-covered studies. Informs the patient if the study is not covered by the patient’s insurance. Completes ABN form for all non-covered procedures.

Completes all work before leaving shift. Available beyond normal operating hours to complete all required paperwork.

Consistently reviews next day or next several days schedule to ensure that pre-certification for the procedure/insurance benefit verification (if required) has been obtained and documented within McKesson Resource Scheduling. Possesses the ability to communicate with the patient and/or family member in a professional, courteous and respectful manner.

Consistently reviews next day or next several days schedule to ensure that appropriate scheduling of procedures and time frames for procedures has been completed in the McKesson Resource Scheduling. Possesses the ability to communicate with the ordering physician, patient and/or family member in a professional, courteous and respectful manner if a adjustment in the schedule must be made.

Participates in orientation and training of new employees and office personnel.

Uses time wisely. Remains consistently productive at all times.

Refrains from texting, internet viewing, and personal phone calls during on duty hours. Takes care of all personal communications during allotted staff breaks.

Assesses work area environment for any patient / visitor / employee safety hazards. Reports all safety issues immediately.

Keeps work area neat, clean, and clutter free. Assures all patient information is protected / stored safely away at end of day. Assures scheduling area remains secure at all times.

Maintains needed supplies and keeps adequate level.

Attends required monthly departmental meetings, (8 out of 12). Completes all required in-services within allotted time frame.

Under the direction of the department director and / or radiologist performs all additional duties as assigned.

Consistently practices and possesses solid understanding of modality specific skill checklist(s).

Required Skills

Minimum Education: High School Graduate or equivalent. Medical administrative certificate preferred.

Required Skills: Must have very good computer skills and proficiency with word processing and other software programs. Knowledge of ICD 9, 10, and CPT Coding. Must have excellent customer service skills and excellent telephone etiquette.

Required Experience

Minimum Work Experience: One year of experience in related medical setting required. Medical Terminology knowledge very helpful.
